Role description: Talent Shared Services - Immigration Consultant (Senior Associate)
Reporting to: TSS Immigration Team Manager

The opportunity
In this role you will play an important part in the administration of EY immigration services. You will work with the global immigration team to ensure EY obtains the appropriate documentation required to initiate both new joiner visa applications and current employee visa renewal and changes. You will also support overseas candidates by providing guidance and expertise for all immigration and relocation-related queries from point of offer.
Your key responsibilities
- Deliver excellent service in line with HR processes and ensure service level agreements are achieved.
- Ensure every EY employee has a verified right to work (RTW) saved to their employee file. This includes reporting on the expiry dates of short-term vignettes, pre-settlement, biometric residence permits and employer checking service (ECS) checks.
- Relationship management with internal EY global immigration team, as well as other internal stakeholders e.g. Talent Attraction and Acquisition, Onboarding and Global Mobility team.
- Case management of all administration relating to employee visas; the application for new visas to include overseas candidate immigration and relocation support from point of offer, renewals, secondments and visa changes.
- Support overseas candidates and prospective joiners regarding their immigration application and any questions and queries around relocation and settlement over the first weeks of the employee’s time in the UK.
- Act as the first point of contact for immigration queries from candidates and employees. You will apply immigration and HR knowledge to resolve queries, demonstrating a solutions-based approach to more complex situations.
- Support employees with the completion of visa documentation required to initiate a new EY sponsored visa. Ensure all documentation is completed in a timely manner to support the EY global immigration team to initiate visa applications through to completion prior to an employee joining EY. Monitor those employees who are obtaining a non EY sponsored visa.
- Process all work permit extensions or changes in applications during service. This includes regular reporting on visa expiry dates and/or employee data changes and the management of correspondence to obtain employee consents and business approvals.
- Monitor monthly billing reports and process the recoupment of any visa costs borne by the employee.
- Raise and issue credit cards to overseas candidates to aid costs in accordance with UK firm policies.
- Carry out TUPE case management when required to ensure all right to work is compliant and received timely. You will also work with the EY global immigration team in respect of the transfer of any TUPE sponsor license activity.
- Process all requests from employees in accordance with the International remote working policy, liaising with the Tax and CBTS teams where necessary to assess the application.
- Management of a TSS immigration tracker used to track all immigration related activity.
- Regular monitoring of EY global immigration trackers to identify visa related action e.g. initiation of Employer Screening Checks.
- Updating and monitoring of EY HR systems and/or immigration related databases. Responsible for the data integrity of immigration related data.
- Ensure satisfactory closure of employee queries or issues relating to immigration.
- Keep abreast of current immigration legislation. Ensure compliance with the firms’ policies, best HR practice and employment legislation related to immigration.
- Propose changes to procedures, documentation and standard letters as part of the continuous improvement initiative and action agreed changes on the Procedural Toolkit.
- Accurate and efficient processing of HR requests in accordance with agreed key performance indicators.
- Action relevant housekeeping reports to ensure accuracy of data on HR systems, and to take appropriate actions identified within reports.
- Development of professional working relationships with HR Business Consultants and key operational customers of the TSS.
- Contribute to wider TSS and HR projects and initiatives Skills and attributes for success We are interested in people with a good level of immigration knowledge and UK legislation and at least two years administration experience of working to high volumes and juggling conflicting priorities. As a successful candidate you will have the ability to demonstrate business knowledge as well as use of initiative and pro-activity. Previous experience within a service delivery environment working to prescribed HR procedures and HR systems would be advantageous.
To qualify for the role, in addition to the above, you must have:
- GCSE qualification level or equivalent
- An ability to work to and enhance prescribed HR procedures
- Attention to detail and a focus upon accuracy and quality
- Strong organisational and planning skills to ensure work is delivered to a high standard and within a deadline.
- Excellent IT skills, particularly Excel.
- Excellent verbal, numeracy and analytical skills.
Ideally, you’ll also have:
- Knowledge of operational HR systems
