Most of our clients are based in Northampton, Milton Keynes and London. We are currently operating remotely, however, we will start looking for a London office within the next year, likely near Euston.
Job Description
We are looking for an experienced IFA administrator who is highly reliable, organised and is an honest and friendly individual. This role will cover a wide range of administrative and client servicing tasks, whilst supporting one of our Chartered Financial Planners to deliver a high quality financial planning service to individuals, families and business owners. The role will require the individual to have the ability to be self-motivated and work independently, as well as part of a team. The candidate should share their ideas and best practice, add value and contribute to a knowledge-sharing culture.
The candidate should have industry experience and industry qualifications would be preferable but not a necessity. The experience should include client communications, diary management, new business processing, income reconciliation, keeping data correct via the back-office system, sending authority letters and chasing policy information from providers and generating protection quotations.
The main tasks for this role will include:
- Supporting the advisory and paraplanning team to manage a range of high-net-worth clients in the area of holistic financial planning, tax planning, investments, retirement planning, estate planning and protection.
- Managing the diary and being highly organised with task management to ensure all work gets completed for the paraplanning and advisory team in a timely manner.
- Being the first point of contact for any incoming calls to the company and adding any new leads to the back-office system with the correct details.
- Ensuring client documents are saved to file and kept up to date (e.g., company agreements / fact find / risk profiling questionnaire / authority letters / AML).
- Sending and processing authority letters and information requests to providers, then regularly chasing with a view to handing over a full and complete file to the paraplanning team.
- Understanding existing policy information and translating that into a presentable format with no missing fields.
- Generating individual and business protection quotations and obtaining any information required for the paraplanning team.
- Assisting with the group protection process (onboarding / renewals) and updating corporate clients as and when required.
- Assisting with the research, analysis and development of client financial planning strategies.
- Ensuring all new business is submitted and processed in a timely manner, with transfers from providers / protection underwriting progress being regularly chased and the clients updated at each stage.
- Preparation of portfolio valuations and investment reports for upcoming client review meetings and any other associated review meeting documents.
- Build close and strong relationships with clients whereby you become a reliable point of contact.
- Monitor and maintain all client records via our back-office system.
- Update clients as and when transfers / deposits / withdrawals are received or withdrawn onto / from the platform and update any associated transactions via the back-office system.
- Dealing with ongoing client queries and assisting in resolving any queries in a timely manner.
- Management and maintenance of client files, folders and documents to ensure files are named correctly, consistent and structured in a methodical manner.
- Continual development of processes with a clear handover between departments, whilst adhering to our regulatory responsibilities.
- Completing the income reconciliation on a monthly basis.
- Complete regular AML checks, ensuring compliant files.
- Maintain a sufficient level of CPD and industry / technical knowledge.
