ECI is now seeking an HR Coordinator in the UK to join our global HR team and contribute towards supporting our globally recognized and award-winning culture.
Responsibilities:
The UK HR Coordinator provides a first-class day to day operational HR support service to ECI employees helping make us a Great Place to Work.
Working as part of the Global HR team and reporting to the Senior Director HR, Europe, the HR Coordinator is the first point of contact for UK HR related queries and is responsible for HR support and facilities/office management activities.
Due to the facilities and health and safety responsibilities, this is predominantly an office based role from our UK Corporate Office in Lincoln, Lincolnshire, UK.
HR Responsibilities
- Manage the HR employee files and databases to ensure information held is accurate, up to date and relevant.
- Support managers and employees with queries regarding ECI’s HR system (Ceridian Dayforce) and act as a system expert for the UK.
- Action all HR correspondence including changes to terms and conditions, family leave applications, reference requests and employment exits etc.
- Provide initial employee relations guidance to managers and employees on terms and conditions of employment and HR policies and processes, escalating cases appropriately.
- Support the Talent Acquisition Team on recruitment and selection activities for new employees in the UK and European geographies.
- Support managers with the onboarding of new employees, to ensure each new employee’s experience is as beneficial as possible.
- Manage the administration of the UK benefits portfolio and work with the Senior Director HR to ensure it remains attractive and meets employee needs.
- Contribute to the review and creation of HR policies and procedures to ensure they remain up to date and legally compliant.
- Support the ECI Employee Social Committee (EESC) by assisting in the coordination of social activities and events to bring together office based and remote employees.
- Undertake HR project work and HR support of other European geographies as directed by the Senior Director HR Europe
- Actively live the ECI values of CODE and support the delivery of global HR initiatives to ensure ECI is a Great Place to Work.
- Act as the first point of contact for all building/office related queries and issues.
- Coordinate health and safety activities including arranging relevant employee training, office inductions, DSE assessments and annual inspections to ensure healthy and safe workplaces that comply with relevant legislation.
- Act as a First Aider and Fire Marshal and be responsible for carrying out office inspections.
- Responsible for keeping all health and safety records up to date.
- Act as the day to day contact for the Building Landlord to manage all tenancy related issues.
- Responsible for arranging regular building maintenance and resolving emergency repairs, liaising with independent contractors or the Landlord as appropriate.
- Manage the office supplies including stationary and kitchen necessities and arrange any postage requirements as needed
- Oversee the operation of the cleaning contract with the external cleaning company
- Support arrangements to host office visitors (arranging lunches, travel etc)
- Previous experience of working in a generalist HR administration or support role, or undergraduate degree in Human Resources/Level 5 Human Resources qualification/Assoc CIPD.
- Knowledge of HR policies and procedures and the UK employment law underpinning effective human resource management.
- Understanding of UK Health and Safety at Work requirements
- Competence in using Microsoft Word, Excel, PowerPoint, email and internet and ability to learn new IT applications and packages quickly.
- Familiarity with using HRIS software (experience of Ceridian Dayforce advantageous)
