We’re on the hunt for a talented Human Resources Administrator to join our People team for a 12-month Fixed Term project in either Salford Quays, Manchester, Haywards Heath, West Sussex, or our offices in Guernsey.
Working as a Human Resources Administrator/Co-Ordinator you will be responsible for supporting colleagues across the business at all levels on all queries in relation to HR, Talent & Learning. The HR Administrator/Co-Ordinator will work across multiple sites providing comprehensive People Services support to colleagues across the Group, you will be responsible for a specific discipline (HR/Learning/Talent) or aligned to Pillar support within HR, providing cover for colleagues across People Services team as required.
To be successful in this role, you’ll need:
- Relevant HR/Talent/Learning administration support experience.
- Experience using People systems i.e., Workday.
- Extensive experience of working with Microsoft Office applications at high levels.
Job Responsibilities:
- To offer an excellent service to colleagues at all levels within the business by being the first point of contact for People related queries (HR, Learning & Talent), always representing the company in a professional manner, resolving queries in line with SLAs and in accordance with Group Policies and relevant employment legislation. To maintain the appropriate People Services Inboxes/Ticketing service along with all associated HR/Talent/Learning procedures to ensure timely responses and relevant information is provided.
- As appropriate provide support across the wider People Team helping to co-ordinate ER cases/learning agreements/interview processes, responding to queries, and providing support with other ad-hoc HR/learning/talent activities (examples of ad hoc work in HR could include but not limited to notetaking, talent team support to interview processes or learning support for learning agreements, psychometrics etc).
- As relevant, dependent upon discipline responsibility; manage the HR, Learning, or Talent People processes. Providing support to other team members areas of accountability to cover leave and peaks / troughs of workload.
- As appropriate proactively manage all leaver processes in a timely manner, ensuring wherever possible leavers are processed within 24 hours of notification to minimise payroll issues. Manage the exit interview with the colleague, dealing with feedback in a professional manner and raising any issues appropriately.
- Ensure maintenance of People processes on the Workday system ensuring colleague records are kept up to date, accurate and comply with relevant legislation within a timely manner. Review HR/Learning/Talent procedures on a regular basis to ensure these meet the needs of the business.
- As appropriate raise and process purchase orders as required. Ensure invoices are approved and are processed for payment. Manage key supplier relationships with regard to payment and co-ordination for HR/Talent/Learning as appropriate.
- Support the screening processes with new and current employees as appropriate (specifically in relation to ensuring Day 1 RTW checks are completed on a timely basis). Accountable for liaising with managers and employees to ensure documents are verified. Work together to ensure a seamless process is provided to the organisation to provide legal compliance in this key area.
- As appropriate provide support through dealing with visa queries. Keeping the People System up to date and liaise with employees to get new visas and permit proof logged. Produce documents and reports for employees’ applications with the Home Office
- As appropriate support the appraisal process as required by producing reports and assisting as necessary in advising managers to ensure timely completion of appraisals and objective setting.
- As appropriate liaise with payroll to ensure monthly salary payment data is correctly managed in the People system and through HR/Talent onboarding processes which ensure correct salary payments are made, including the management of absences, new starters are set up correctly through the onboarding process and final payments for leavers (including deductions for Learning Agreements) are processed appropriately.
- As appropriate manage all aspects of People administration including new starters and leaver process in accordance with the requirements of the business and in line with data protection and employment legislation. Liaising and working with internal departments, such as IT, as appropriate.
- As appropriate take accountability for the generation of letters, contracts, and other materials in respect of employees, including job changes, changes related to flexible working, change of hours, line management change & salary increases, probation management, learning courses etc.
- As appropriate, deal with all requests for employment/mortgage/lettings references in line with company policy including agreed references in leaving arrangements, taking account of regulatory requirements in terms of regulatory references, data protection legislation and SLAs.
- Support the HR department to achieve the People Strategy objectives by contributing to and assisting with the delivery of individual projects.
- Ensure that all data is managed in line with the data protection principles and in line with company record retention guidelines.
- Ensure compliance with company and other relevant standards/ regulations at all times (including TCF).
- Liaise across the people team to consistently improve internal practices and procedures and to provide an efficient and effective service.
- Any other reasonable duties as required given the level and nature of the role.
Qualifications
- Relevant HR/Talent/Learning experience.
- Desire to work towards a CIPD Level 3 an advantage.
Experience
- Recent proven HR/Learning/Talent experience.
- Experience using People systems i.e., Workday.
- Experience of working with Microsoft Office applications at high levels.
