What is the purpose of the role?

The HR & Recruitment Officer manages the Hidayah Volunteer journey from recruitment to when the volunteer leaves Hidayah.


What do we specifically expect of this role?
This role manages the recruitment, on-boarding and retention duties of Hidayah volunteers, you will sit on the Board of Hidayah and it is a pivotal role. This role will have the following duties, but are not limited to:


  • To recruit and train volunteers for Hidayah and give them a clear focus in their role;
  • To develop relevant volunteer role descriptors and plan a regular planned volunteer meeting/contact to ensure that volunteers feedback about their experiences and to clarify any concerns they may have;
  • To work with other Trustees members to identify volunteer needs for events and activities;
  • To set up systems to collect volunteer data (for example, total numbers, volunteer satisfaction, etc.) for the annual report and for advertising and recruitment of volunteers;
  • To seek out opportunities to develop new volunteer roles;
  • To ensure that all volunteer-led projects are running fairly and smoothly;
  • To develop volunteer paperwork in line with Volunteer England’s best practice.


We are flexible around your own schedule. However, the following commitments are in place for all member of the Hidayah board:


  • To be able to attend all Trustee meetings and to deliver a comprehensive report to the Trustee each meeting with updates and to completed actions as and when they appear;
  • To aim to attend all other planning meetings as necessary when close to Hidayah events as well as the events themselves (where possible due to geography);
  • To be part of a communications group (Via WhatsApp) to keep up to date with Hidayah developments;
  • To contribute toward and to maintain the administration of our file sharing system ‘Google Drive’ so it is always up to date with clear records, templates and forms;
  • To check emails and to respond when needed;
  • Enthusiasm, dedication, responsiveness, flexibility and eagerness in supporting the aims, vision and mission of Hidayah;
  • To contribute toward the Annual Report once a year;
  • To be in post until the next AGM.
  • The role is subject to a 6 months probationary period.
  • The role has a 2 month notice period should you wish to resign.


How much commitment is required?

We are flexible around your own schedule. We do have regular catch ups with all volunteers to speak about workloads. We envisage this role taking a couple of hours a week depending how comfortable you are in the role and appreciate that it may take some people longer to fulfil tasks.


What do we expect from a Trustee?


Please note that you must agree with and fit the criteria below to be eligible to volunteer in this role:


Knowledge:
  • Educated to degree level or experience which demonstrates equivalent analytical ability
  • Knowledge of quality assurance systems and their benefits for the voluntary sector
  • Knowledge of good governance procedures for the voluntary sector


Personality:
  • Line managing, developing, coaching and motivating staff.

  • Large scale project management under the scrutiny of a funder, involving a number of delivery partners, the commissioning and managing of independent consultants and trainers, preferably in the voluntary sector.
  • Working and influencing at both a strategic and operational level ensuring excellent working relationships and a high standard of customer care.
  • A self-starter who can volunteer with minimal supervision.
  • Friendliness, enthusiasm, dedication, responsiveness, flexibility and eagerness in supporting the aims, vision and mission of Hidayah.


Personal Skills:
  • Ability to understand confidentiality, equality and diversity and safeguarding procedures;
  • Ability to respond to resolving conflict situations if needed;
  • Someone who can behave with professionalism.


Administration Skills:
  • To regularly check, maintain and keep up to date Hidayah administration and data handling systems such as using Google Drive to store information
  • A high degree of literacy of Microsoft Office, Google Suite and IT Applications
  • To be part of a communications text group (Discord) to keep up to date with Hidayah developments and to inform the Board Members of any developments;
  • To read new Hidayah policies and initiatives and to be aware of new Hidayah news;
  • To read, understand and agree with the constitution of Hidayah (available on website).
    Additional:
    • You must be 18+ and live in the UK
    • You will ideally have some previous HR and/or recruitment experience
