OVERALL ROLE PURPOSE
The People & Legal Operations Administrator position wears a number of ‘hats’ covering a range of responsibilities which ensure the smooth running of a busy office environment and the back-office services that underpin the HR and legal operations teams. These responsibilities cover Administration for the Legal, HR and Finance teams.
The role is responsible for developing office and regional communication protocols, streamlining administrative procedures, HR and legal team administration tasks (letters, contracts, right to work expiry dates), inventory control and other central office administration duties. You will be the ultimate coordinator on office related matters and be everybody’s first point of contact, including senior executives. The role will have dual reporting lines into the HR and legal team, but you will have the opportunity to have ownership, act independently, and make a difference to many of the processes and ways of working.
The successful People & Legal Operations Administrator is an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks to a very high standard. Well organised, flexible, and enjoys the administrative challenges of supporting a range of teams with diverse people. A very strong attention to detail will be required as many of the documents you will work on are HR or Legal team orientated, so accuracy is key. You will be happy to work in the London office, as many of the tasks will require you to be present in the office to complete them effectively.
MAIN RESPONSIBILITIES OF THE ROLE
- Drafting of HR and legal documents as required; letters, contracts, agreements etc.
- Management of calendar reminders for expiry dates, renewals, etc.
- Assisting with all employee lifecycle processes; from offer, new starter set-up, payroll updates and offboarding.
- Drafting reports and making written recommendations.
- Create and maintain a pleasant work environment in the London office that is safe and inviting for all our employees
- Manage relationships with external partners
- Work closely with the senior executives and provide ad hoc support when needed
- Planning and organising meetings, calls, out of office meetings or events
- Working with the People Team to ensure a smooth onboarding and offboarding for all Wirexers
- Take into account the needs of external and internal stakeholders and incorporate them into new strategic plans
- Purchasing of stationary, supplies and IT equipment as needed
- Overseeing basic Health & Safety requirements; checking first aid equipment, ensuring up to date fire Marshall/first aiders are available onsite
- Sorting mail and delivery when needed
- Organising office equipment and seating plans/areas
- Management of all onsite and offsite company events
- Other office management, HR and legal duties as required
EXPERIENCE SKILLS REQUIRED
- High ethical and professional standards
- Excellent administrative skills and attention to detail
- Generalist senior administration experience within a HR, legal or similar environment would be highly advantageous (previous demonstrable experience of working at Senior Admin level)
- Excellent communication skills with the ability to build and develop relationships across the business, building partnerships with people and teams to become the first point of contact in the People and Legal teams
- Results focused with a real drive to achieve
- Practically minded; able to roll their sleeves up and get stuck in
- Happy to work in the office as and when required for office related tasks to include employee onboarding and offboarding, and more general office related matters
- Experience of working in a fast pace professional environment
- Proven experience of managing a busy office / administration role
- Able to keep highest levels of confidentiality
- A warm, authentic, and fair personality is a must
