About the role:
We’re looking for a HR Assistant to join our HR Operations team. You will be based in our office in Leeds with the ability to work in a hybrid way as part of our ‘flex together’ approach.
In this fast-paced role you’ll work with our wider business being responsible for 1st line HR administrative support to employees and managers across the European region, primarily UK, Ireland, Lithuania & Spain.
The team are a key service between employees and HR, enabling an exceptionally well organised and consistent end to end employee experience through providing high quality administrative support across all areas of HR. The broad nature of the role will provide the opportunity to develop core HR knowledge and expertise.
Day-To-Day you will:
Responsibility for ensuring that all HR administrative tasks across the employee life cycle including pre- and post-employment checks, contract issue, contract amendments, probationary reviews, all in life employee changes, and leavers process/documentation are carried out accurately.
Provide key support and actively coordinate the creation, issue and return of key documents required by the FCA under the Senior Manager & Certified Regime, assisting with the annual certification of the senior leadership team in line with the Certification Regime
Support in management of the relationship with our outsourced employee vetting provider, ensuring pre and in employment vetting is carried out appropriately including the tri-annual vetting checks
Work closely with relevant stakeholders to ensure that all third parties receive relevant information in timely manner (pensions providers, benefit providers, recognition scheme providers etc)
Work in close partnership with Payroll Team to ensure accurate payments made and improvements identified.
Facilitate and co-ordinate the new starter induction.
Tracking of visas and right to work documents including involvement in the management of the sponsorship licence
Ensure the systems across the department (e.g., Workday, MS Planner, Vetting Trackers) are accurately maintained & liaison with central HRIS teams to ensure proactive improvements to the system where appropriate.
Ensuring documentation is up to date, stored correctly and in line with legislative and regulatory requirements including GDPR.
Providing system generated reports, insights and analytics plus other management information to stakeholders on request.
Drive continuous process improvement within the People Services team to enable the transfer of work into the team thus maximising opportunities for wider HR team to work on more value-add programs.
Responding to colleague queries around benefits, working in conjunction with our benefit brokers as appropriate
Provide support as required across all areas of HR, for example recruitment campaigns, benefits enrollment, performance review process, salary and bonus reviews, employee relations and learning and development activity
Takes a lead on initiatives and project implementation representing People Services delegating and being supportive by the rest of the team
Essential Skills & Experience:
A proven track record of working in a fast-paced administration team or customer service environment, ideally within HR.
Strong with the use of Microsoft office – excel, PowerPoint etc
Experience of managing sensitive situations and handling customers and stakeholders with empathy and understanding.
Experience of dealing and handling with sensitive data.
Personable and friendly, you’ll be a key ambassador of the HR service to our managers and colleagues.
A positive outlook when faced with obstacles
Attention to detail, a high level of accuracy with excellent organisational skills and ability to prioritise
HR database experience ideally Workday although full training will be given.
