GUILD CARE JOB DESCRIPTION

Guild Care are currently looking for a HR Assistant to join our expanding team. This position reports into the HR Manager and will assist in ensuring all admin tasks are complete and support with HR queries across the charity ensuring compliance with the law and Guild Care's procedures.

Job Purpose

To support the HR department in all administration duties, ensuring confidentiality at all times.

To be a point of contact for all HR quires across the charity, providing advice and guidance.

To assist the Recruitment Team in any duties relevant to supporting the whole team, including administrative duties, recruitment events, ad hoc interviewing and assisting with day-to-day tasks.

Main Duties

· To ensure all employee records are up to date and recorded on the database as appropriate.

· To ensure all documentation is up to date and appropriate

· To maintain a leavers spreadsheet, exit interviews and an overview of the performance management process (PPC’s)

· To compile reports, statistics and KPIs on a monthly basis.

· To complete ONS reports

· To support staff and Managers with HR quires and where required directing to relevant policies

· Monitor probations highlighting concerns to Managers.

· To review database notifications, including nurse pin checks

· Ensure any changes to terms and conditions are confirmed in writing to employees and Payroll.

· To liaise with the payroll department where appropriate.

· Ensure all archiving is maintained up to date and consistent with policies and procedures.

· To support Recruitment as and when required.

· In line with all Human Resource guidelines and agreed ways of working, follow all HR management systems to the benefit of Guild Care and personal development for all.

· To attend meetings where appropriate as note taker.

· To assist the HR team to anticipate the needs of Guild Care employees through the regular review of forms, policies and procedures.

· To provide excellent customer service and general advice to both internal and external enquiries.

· To ensure department expenditure is kept in line with budget, including photocopying and stationery cost.

· To undertake a range of administrative tasks including mailings, correspondence, filing, sending reference requests, sending contracts, booking meetings and telephone calls as required to support and assist the life cycle of all employees.

· To carry out file audits across all services as required in accordance to GDPR regulations.
