The DSL is part of a long-standing tradition of excellence in the world-wide networks of more than 140 schools abroad. All are independent schools accredited and supported by the Federal Republic of Germany. The DSL offers a challenging educational program from Kindergarten to Abitur for 870 pupils with a specific emphasis on German language and culture.
The school has a bi-lingual Administration Team that supports all departments across the DSL and the role is situated in the Grade II listed Douglas House.
Position:
The HR Administrator supports the HR Manager and the wider teams across the School, in providing bi-lingual, high quality, efficient and compliant HR services, in line with the School’s policies, current legislation and good practice guidelines.
- Provide HR administrative support for the HR department and across the school as required
- Administer data in HR Software system Cezanne (CZ, ensuring all entries are up to date and correct
- Provide Cezanne Support to staff and respond to queries and troubleshooting
- Collate new employee information for the Finance Department, and ensure all data collected is accurate and compliant
- Chasing and managing references
- Advising line managers and staff on the appropriate safeguarding checks and procedures for all staff, volunteers and contractors
- Creating personnel files and ensuring they are kept up to date, including leavers
- Prepare Bank reference letters and request forms for German institutions
- Liaise with Safeguarding and ensure that all staff regularly undergo safeguarding training and policies have been signed digitally in CZ
- Upload and record staff training documents in CZ
- Managing the full recruitment cycle for Interns coming from Germany across the school
- Using the Sponsorship system to request Certificates of Sponsorship and assign them to Interns
- Maintaining the Single Central Register
- Undertake required pre-employment checks, such as DBS, and update line manager as appropriate
- Provide workforce data through a range of CZ reports
- Arrange for employee gifts to be purchased and communicate with Senior Leadership Team to ensure timely handing out; monitor school credit card
- Provide backup for HR Manager during absence, referring issues of concern or more complex HR related queries to them on their return or if urgent to the Commercial Director
- Support the HR Manager with the development and implementation of projects such as engagement and wellbeing initiatives
- Maintain own continuing professional development, keeping up to date with legal requirements and relevant HR developments
- Maintain strict confidentiality about staff matters and maintain compliance in line with the Data Protection Act
- Assist with any other administrative duties as required
Requirements:
- At least one year experience as HR Administrator, ideally in a school
- Fluent in German and English, written and oral
- Degree educated, ideally in Human Resources or related subjects, such as criminology or psychology
- Genuine interest in working within the German education sector
- Thorough understand of the recruitment cycle
- Excellent communicator using a variety of communication channels
- Ability to adapt quickly to the needs of staff, parents or students in a professional and friendly manner
- Some experience in recruitment through Tier 5 visa route
- On-boarding with focus on safer recruitment processes including but not limited to DBS checks and safeguarding policies
- Providing quality workforce information through HR system reporting
- Strong IT skills, using MS Word and Excel, Office 365 One Drive/ Share Point
- Working independently and using own initiative
- Some knowledge of UK employment legislation
