About the role

Time Out Group is looking for a bright, proactive individual who is keen to develop their career in a broad generalist HR environment at a global media and hospitality company. The role sits within a collaborative, knowledge-sharing global HR team of 6 people, specifically providing HR and payroll administrative support across EMEA and APAC regions. Full training will be provided, however, a meticulous eye for detail, high level of organisation, and numerical accuracy is essential in order to be successful and meet the demands of this role.

Key Responsibilities


HR Administration – 75% of time:

  • Manage the onboarding process which includes drafting employment contracts, conducting one-to-one HR inductions, managing company-wide onboarding days, working with IT to arrange company equipment for new starters, completing right to work checks, and obtaining references.
  • Manage the offboarding process which includes drafting leaver paperwork, carrying out exit interviews and providing references.
  • Maintain and update the global HR system (People HR) with accurate employee information such as new starters, leavers, salary and job titles changes.
  • Maintain the global company org charts.
  • Upload monthly UK pension contributions to pension provider’s online portal.
  • Assist with HR administrative tasks as directed by the Chief People Officer, HR Director or HR Advisor (all of whom are based in London).
  • Ensure our internal HR portal (similar to an intranet) is kept up-to-date with accurate information for employees to access.
  • Assist with queries and sign-ups to employee benefits such as discounted gym memberships, travel season tickets, and cycle schemes.
  • Maintain and update the global expenses system with accurate employee information such as new starters, leavers, and reporting line changes.
  • Create regular reports and presentations on HR metrics, such as monthly headcount reports and presenting the results of onboarding and exit surveys.
  • Create the monthly HR newsletter which is distributed to our global workforce.
  • Act as chairperson for the Social Committee, helping to organise internal social events for the employees in the London office.
  • Handle confidential data and information, keeping all aspects secure with a high level of attention to detail.
  • Respond to ad hoc employee queries from employees across our EMEA and APAC regions in a timely-manner.

Payroll Administration – 25% of time:

  • Pull reports from the global HR system and liaise with internal stakeholders to accurately compile monthly payroll changes for submission to external payroll providers in the UK, France, Portugal, Hong Kong and Singapore.
  • Adhere to multiple monthly deadlines set by the external payroll providers to ensure employees are paid on time with zero errors.
  • Be the first point of contact for payroll queries from employees and other key stakeholders such as the Finance team or external auditors.

Skills & Experience

  • Some experience in an HR admin or HR assistant role.
  • Good working knowledge of Excel, Word, PowerPoint, and GSuite.
  • Strong in-person, email and phone communication skills.
  • Meticulous organisational and time management skills.
  • Excellent attention to detail.
  • Ability to prioritise a varied workload.
  • Good numerical skills.
