We have an exciting opportunity to join our Human Resources team as a HR Administrator on a part time basis (17.5 hours). As a HR Administrator you will be responsible for delivering proactive and efficient HR administration and data processing in support of the HR team.


You will undertake a variety of different administration tasks that cover the whole employee lifecycle - from preparing contracts for people joining Penguin Random House, to processing leaver information.


You will work closely with in-house departments such a Payroll, Pensions, Finance and external provider companies. As an HR administrator you will work to agreed SLA’s and will often be the first point of contract for HR related queries.

Key responsibilities


Administration
:


  • Creating new joiner contracts and setting up new joiners on all relevant internal systems in advance of the individual joining Penguin Random House. This includes ensuring all information is received on time (following up where information is missing) and ensuring the individual has a smooth transition into the business.
  • Processing any employee changes on the HRIS and generating letters in support of those changes (for example salary changes, promotions, maternity/adoption leave etc.)
  • Managing the monthly benefits processes – including ensuring data is up to date and accurate, that any ‘life event’ windows are actioned, that employees understand any actions they need to undertake.
  • Managing absence data and supporting the Generalist team to report on absence as required.
  • Processing leaver paperwork and generating the appropriate leaver letters.


Data Integrity and People Analytics:


  • Ensuring that all information contained within the HRIS is timely and accurate and can be relied upon.
  • Continually seek ways to improve the accuracy and functionality of the HRIS.
  • Running scheduled reports and ad-hoc reports as required to support the business.


Liaison with employees:


  • Acting as the first point of contact with employees for certain matters (for example name changes, benefit queries etc.) providing a seamless ‘customer focused’ service and escalating issues as relevant to the HR generalists or other members of the HR team / wider business.
  • Interacting with employees to answer questions and investigate issues as relevant and/or as requested by the HR generalists.


What you’ll bring


  • Excellent communication and interpersonal skills, both verbal and written with a good customer focus - able to tailor communications appropriately in line with information provided.
  • Positive, friendly, confident, and professional attitude - able to build positive and proactive relationships with key stakeholders within the HR and Payroll teams, as well as with employees.
  • Attention to detail - able to work at pace with ‘right first time’ accuracy.
  • A track record of working to deadlines with ability to prioritise workload.
  • Able to work independently and on own initiative within specified guidelines or processes.
  • Comfortable learning, working with and adapting to IT systems.
  • Proven experience of working with MS Office.
  • Demonstrable numeracy and literacy skills.


Previous experience within a HR, Payroll environment and working with HRIS is desirable but not essential.


This is a hybrid role with the expectation to come into one of our offices, based in London (Pimlico and Nine Elms) once a week. The part time hours for this role is 17.5 hours, we are flexible on what days you would like to work these hours. Working patterns will be discussed further at interview stage.

Salary: You'll start on £26,500 (pro rata). Expect a £1,000 increase on your first anniversary in this role to reflect your growing contribution.
