We are currently recruiting for a HR Administrator to join our growing HR team, to provide support to the business, including our opticians & hearing care practices, lens manufacturing lab, and Head Office teams. This is an exciting time to join the business, as we continue to grow across Scotland and to relocate our manufacturing lab and head office teams to a new facility in Dyce, Aberdeen.
This is a brand-new role and can be performed remotely (working from home) or hybrid (with days worked at our new Head Office facility).
Main Purpose of Role
The HR Administrator will support the HR team in the delivery of efficient and effective administrative and HR support service by maintaining accurate employee records and providing first line contact on all people related queries / issues.
Core Responsibilities
Employee Support
- Act as first point of contact for employee queries, triaging the HR Support inbox and assigning requests for support to the appropriate team member
- Respond to and action all transactional HR queries within agreed SLA timelines, escalating where appropriate
Data Management
- Ensure that all employee data is recorded and managed appropriately through the whole employee life cycle
- Carry out regular audits of employee records to ensure all data is recorded accurately and in a consistent manner.
- Responsible for maintaining the HR/Payroll system (iHCM2) and the Resource Planning system (Real Time) with new starts, leavers and any changes to employee terms and conditions
- Work with highly confidential information, perform your role with discretion and maintain the trust and confidence of employees
Administration
- Create and issue offers, contracts and amendment to contract letters
- Administration of long service awards and other employee benefits as required
- Attend employee relations meetings and provide a full and accurate record of discussions as required
- Support the HR team with ongoing HR projects when required
- Prepare HR transactional correspondence and letters to agreed standards for all promotions / transfers / absence management / maternity / paternity / staff development agreements / probations
Employee Lifecycle
- Support with arranging interviews with prospective employees in a timely manner as required
- Support the onboarding process by communicating with internal stakeholders to ensure all relevant resources are available for the new joiner prior to their start date
- Support the Leavers process by communicating with internal stakeholders to ensure that the relevant steps are followed in each case
- Provide support to the Resource Planning Manager in ensuring that absences and changes to the rota are recorded accurately and in a timely manner, as required
General
- Support the design and roll out of people management initiatives and projects.
- Ensure that the utmost accuracy and discretion is maintained at all times with regard to handling confidential and potentially sensitive information/data.
Other
- Maintain and develop good working relationships with internal and external customers, acting as an ambassador for the department and the Company at all times.
Skills / Qualifications
- Previous experience working within an HR administration role is essential
- Experience of using ADP HR management systems would be an advantage, but not essential as training will be provided
- Must work well in a team environment, supporting team members as required and with the ability and confidence to work autonomously
- Proven interpersonal and communication skills, with the ability to interact with stakeholders at all levels within the business
- Proven capacity to manage workload in a high-paced environment and to meet deadlines while working remotely
- An ability to adapt to changing priorities in a dynamic and fast-paced environment
- Motivated to learn and strive for continuous improvement
Geographical scope of role
This job is predominantly based at home, with a requirement to attend the Company Head Office location in Aberdeen on occasion.
Relevant equipment will be provided to the job holder to allow them to work effectively from home.

- Salary range: £24,000 - £28,000 per annum dependent on experience
