Job description

We are delighted to be looking for a part time HR Administrator to join our welcoming and proactive UK HR Team. Already a team of five, we are looking for the sixth person so we can continue to progress with various HR initiatives and projects. Previous experience within an HR environment would be beneficial however not essential. Primarily we're looking for someone who has a 'can do' and friendly attitude, is hands on, has good IT skills and has experience of working within a busy office environment.

Working 24 hours per week (ideally over 4 days) this will provide the admin support for the HR team based in Bude and the wider business. There are occasions where there may be some flexibility with regards to working hours due to open events or shows however plenty of notice will be given.

The main responsibilities are as follows;

  • To be the first point of contact for employee questions or queries
  • To process any incoming mail for the HR Team
  • To be the first point of contact for any incoming HR related queries from external people or organisations
  • To help create and distribute documents as advised by the HR Team
  • To update employee records – for internal database, Focus and ADP Payroll
  • To help set up appointments and meetings
  • To assist with the compilation of reports or spreadsheets as required
  • To assist with recruitment campaigns from placement of advert right through to sending out of job offers and contracts and ensuring candidates are kept informed throughout (whether successful or not)
  • To assist with arranging Employee Inductions and notifying the HR Team if these have not been completed
  • To ensure new employee details have been communicated accordingly to department managers to allow any equipment to be set up in good time – mobile phones, laptops, email addresses etc.
  • To manage the time and attendance system (Focus): sorting exceptions, updating work patterns, adding new starters, annual leave, absences, etc.
  • To allocate and disable key fobs when someone joins / leaves the Company
  • To organise the monthly birthday cards in good time for the CEO
  • To assist with the compilation and coordination of documents for any investigations, disciplinaries or grievances
  • To assist with the exit interview process
  • Collation of data ready for the monthly payroll – including salary changes, loyalty payments, long service awards, overtime, absences, Cyclescheme / Techscheme, pensions, etc.
  • To help organise events such as Long Service Award Lunches and Management Meetings
  • To support with the administration and upload of stories onto the ‘bott bugle’
  • To be an active participant in the Social Committee and help to arrange events accordingly
  • To be an active participant in our Mental Health Committee
  • To help arrange training for the ‘bott Academy’

24 hours per week (ideally over 4 days, Fridays essential)
