A fantastic opportunity has arisen for an administrator to join the HR Administration and Pay Team.

We are looking for someone who has an interest in working within HR in the NHS and has a passion for learning and development with great customer service skills.

You will join a well-established team, reporting to the HR Admin & Pay Team Leader. The team currently provides a seamless and effective HR Administration service to the Trust, liaising with external organisations, such as our outsourced payroll provider, this is a key part of the role delivering a high quality, customer focused service to the Workforce. You will be responsible for dealing with a variety of HR queries and the processing of electronic forms related to the employee life cycle.

  • To contribute to the delivery of a seamless and effective HR operational service, by providing high quality administrative services.
  • To be responsible for data maintenance of the Electronic Staff Record (ESR) and other workforce information systems. This will include inputting data used for payroll purposes e.g., details of HR transactional changes and leavers, populating other areas of ESR as appropriate. A high degree of accuracy and speed is required for this post and a good working knowledge of ESR is highly desirable.

  • Inputting of workforce/HR transactions ensuring that the HR side of ESR data fields is undertaken accurately and in a timely manner, so that payroll deadlines are always met. Inputting and updating of individuals’ personal records as relevant.
  • To ensure that the employee forms, such as e change and e leaver forms, are actioned accurately on ESR in line with the information received from managers.
  • Populate all other ESR non-payroll related fields e.g., for Visa/RTW expiries, Fixed Term contract expiry dates, professional registration re-checks, DBS re-checks.
  • Ensure that records are kept in line with the policy of employee records, archiving as appropriate.
  • Ensure that records/transactions are forwarded promptly to SBS and that queries are dealt with promptly and efficiently.
  • To receive Inter Authority Transfer (IAT) notifications.
  • Under the direction of the Senior HR Advisor conduct routine data quality checks to ensure that the accuracy of the data entered on ESR is always maintained.
  • Under the direction of the Senior HR Advisor and Team Leader undertake internal audits to ensure processes are being followed and payroll errors are minimised.
  • Ensure that post employment checks for example e.g., work permits, and professional registration are progress chased, escalated to other teams where necessary, and then ensuring staff records are updated on ESR.
  • Progress chasing fixed term contracts where these are due for expire and updated regularly on ESR.
  • Identifies and takes personal responsibility for maintaining and developing (professional) knowledge and expertise, agreeing, and working towards the achievement of a Personal Development Plan.
  • Any other duties as may be required from time to time, which are consistent with the grade and nature of the post.
