Job description

Job purpose:

To receive, welcome and register guests, maximize room sales and guest satisfaction. To ensure all duties as stated in the reception checklists are carried out in full and in the correct manner, which will ensure the smooth running of the department. To ensure that the reception and reception lounge area are kept clean and tidy and offer a welcoming atmosphere. To communicate with your manager and all other departments to ensure smooth running of the hotel. Ensuring all reports required to be kept on file are printed from hotel executive and filed in an appropriate manner to ensure the smooth running of the department.

Shift requirements are a mix of Early 8am until 4pm & Late Shift 2pm until 10pm. You shall receive a full month rota's in advance and shall be required to work 5 days over 7.

Customer Care

· To ensure that all guests are treated with the utmost understanding, kindness and warmth

· Receive and register guests on arrival at the hotel, using guest name and company check-in and check-out procedures. Check to ensure that guests have enjoyed their stay.

· Wear correct uniform and name badges at all times.

· Answering all incoming and internal telephone calls as per company standard

· Carrying out all guest arrivals and departures to the company standard, including the procedures for rooming a guest on arrival

· Carrying out all early morning call and newspaper requests from guests

· Ensuring all relevant charges are posted to guests’ rooms and all financial transactions are balanced, recorded and correct

Sales

· Maximise in-house selling at all opportunities by ensuring reservations procedures are applied.

· Be familiar with all company selling procedures and promotions.

· Ensure maximum occupancy and rates are achieved wherever possible.

· Be aware of your room availability at all times and your competitor availability.

· Offer to make restaurant bookings and maximize every opportunity to generate additional revenue for the hotel

· Taking messages for other departments and ensuring these are passed on to the relevant manager

· Taking wedding/function enquiries and passing these to the relevant manager to deal with

· Taking lunch/dinner reservations and recording these in the restaurant diary

Security

· Ensure security of all property and cash.

· Responsibility for all reception floats, banking and monies, including the main safe

· Responsibility for all key & float issuing – ensuring all relevant details are recorded

· Report any suspicious incident, theft, lost property, damage or hazard, immediately, to your supervisor

· Ensuring that any petty cash issued to any member of staff is signed for and that a receipt is obtained to cover the purchase

Health & Safety

· Understand and comply with the company’s policy on health and safety.

· Carry out duties in a safe manner having regard for the health, safety and welfare of self, colleagues, guests and other persons on the hotel premises.

· Comply with the hotel’s fire evacuation procedure, and understand your responsibilities within it.
