Position Overview:
We are seeking a highly organised and customer-focused individual to join our team as a Hotel Receptionist at our establishment in Warwick. As the first point of contact for our guests, you will play a crucial role in providing exceptional customer service and ensuring a smooth and enjoyable stay for all visitors. Your responsibilities will include managing bookings, assisting guests with inquiries and requests, handling banking tasks, and maintaining an organised reception area.
Responsibilities:
1. Welcoming Guests: Greet guests in a warm and friendly manner, ensuring a positive first impression. Provide excellent customer service by addressing their needs, answering questions, and helping when required.
2. Check-In and Check-Out: Efficiently handle the check-in and check-out processes, ensuring accurate recording of guest information, payments, and preferences. Provide guests with necessary information about the hotel's facilities, services, and local attractions.
3. Managing Bookings: Receive and process hotel reservations, ensuring accuracy in recording guest details, dates, and room preferences. Effectively manage room availability, ensuring a seamless booking experience for guests.
4. Customer Inquiries: Respond promptly and knowledgeably to guest inquiries, whether in person, over the phone, or via email. Assist with providing information about local attractions, transportation, and any other relevant details to enhance guests' experiences.
5. Banking Tasks: Handle financial transactions accurately and efficiently, including processing guest payments, managing invoices, and maintaining proper documentation. Ensure compliance with accounting procedures and security protocols.
6. Administrative Duties: Maintain an organised and tidy reception area, including managing the front desk supplies, brochures, and promotional materials. Keep records of guest interactions, special requests, and other relevant information to ensure personalised service.
7. Communication and Coordination: Collaborate with other hotel departments to fulfil guest requests and resolve any issues or concerns. Communicate effectively with housekeeping, maintenance, and management teams to ensure smooth operations.
8. Problem Resolution: Address guest complaints or concerns promptly and professionally, finding appropriate solutions to ensure guest satisfaction. Escalate issues to the management team when necessary.
9. Compliance and Security: Adhere to all hotel policies and procedures, including safety and security protocols. Maintain guest confidentiality and handle sensitive information appropriately.
Requirements:
- Previous experience in a customer service role, preferably in a hotel or hospitality environment.
- Excellent interpersonal and communication skills, with a friendly and approachable demeanour.
- Strong organisational and multitasking abilities to handle various responsibilities simultaneously.
- Attention to detail and accuracy in managing bookings, financial transactions, and guest information.
- Proficiency in using hotel management software, reservation systems, and other relevant technology.
- Knowledge of banking procedures and experience handling financial transactions is highly desirable.
- Familiarity with the local area and tourist attractions to assist guests effectively.
- Ability to remain calm and professional in high-pressure situations.
- Flexibility to work shifts, including evenings, weekends, and holidays.
