Health & Wellbeing Coordinator
Location: Work from home
Hours: Flexible Hours (Monday to Friday)
Status: Full Time
Salary: £20,000
The Role
This is a fantastic opportunity to join a growing team who are responsible for ensuring our clients receive fast, effective treatment to support them in their journey through our health & wellbeing services.
We are looking for someone who has a keen eye for detail, is comfortable talking with people from all backgrounds and walks of life and keen to develop their administrative and customer service skills.
We are a friendly, supportive and hard-working team focused on delivering an excellent service to our clients, and developing our relationships with our providers, including our network of associate therapists.

Key Accountabilities:
Customer Service
- Communicate with clients making referrals to Sparta Health
- Contact clients by phone and in writing to arrange the support they have requested.
- Take incoming calls from and be supportive of patients enquiring about their treatment.
- Contact treatment providers to obtain details of a patient’s treatment including treatment/session updates.
- Maintain and develop relationships with providers including our network of associated mental health therapists
- Be caring and considerate to all those involved with our business
Administration
- Manage the team email inbox.
- Filing emails from patients, clients, and treatment providers.
- Allocate invoices and match them against records on our case management system.
- Add new referrals to, and maintain records on our case management system.
- Issue and obtain relevant consents from all patients referred for treatment.
- Update & maintain patient files on our case management system.
Facilitating Treatment
- Use our case management system to ensure clients are kept up to date with the progress of a patient’s treatment
- Monitor and pass on updates and assessment reports received from providers and associate therapists
Office Support
- Undertake any other duties required, commensurate with the grade and level of authority of the post
- Support and show consideration to colleagues at all times
- Proactively identify, share and implement ways to continuously improve Sparta Health as a business and employer
- Demonstrate and champion behaviours and attitudes consistent with Sparta Health values.
- Abide by the Sparta Health policies and procedures in force, and remain up-to-date with any changes that may apply from time to time
We would anticipate the successful candidate as having:
- Excellent written and verbal communication skills
- The ability to prioritise, plan and organise autonomously
- The ability to build relationships with people at all levels
- The ability to interpret and process data
- Experience with Microsoft Office and being computer literate
- An aptitude to learn new skills, ways of working and embrace new technology
- Problem solving capability
- A determination to meet commitments
- A keen eye for detail
- GCSE English & Maths (A-C)
- A relevant degree (Musculoskeletal, Psychology/Mental health or other health related) is desirable but not essential
