Job Title: Health Records Store Assistant

Hours: 07:30am – 3:30pm or 08:00am – 4:00pm (1/2 an hour lunch break)

NHS Professionals require pro-active and hardworking individual to work as a Medical Records Store Assistant at Buckinghamshire Healthcare NHS Foundation Trust.
The Role
Responsible for the day to day provision of a comprehensive, confidential and effective medical records service to the Trust.
This role is based at Wycombe Medical Records though there is a requirement for cross site working at established medical records libraries and storage service areas within the Trust. This includes Stoke Mandeville Hospital, Amersham Hospital and Community hospitals and services.
The key function of the role is to support the storage function of the medical records service. This includes the culling and destruction of patient records and to retrieve storage from stacked boxes or from warehouse style racking. In addition, the post holder maybe required to prepare records for forward and back-scanning into the Evolve EDRM system, as per the standard operating procedures.
Responsibilities
Please note some heavy lifting is required.
Duties may include but not limited to:
- To move and receive boxes of records weighing an average of 15kg and sort them into order ready for placing onto warehouse style racking.
- The use of power pump truck in accordance with handling instructions.
- To sort and label boxes for third party providers for scanning and off-site storage using agreed methods of tracking.
- To move boxes in readiness for delivery to a third-party provider.
- To retrieve records from the stored boxes as required for outpatient clinics, admissions and in response to ad-hoc requests returning the box to the correct location on the shelf once the record has been retrieved.
- To sort records returned to the warehouse and track them in using the CareFlow case note tracking module and / or other electronic or manual catalogue tracking system appropriate to the record type.
- To search for missing records and record steps taken to locate them.
- Using set criteria, identify and retrieve records eligible for destruction in accordance with Trust and NHS policies and place into skips
- To ensure that all storage areas are kept tidy, and passageways are free from obstruction at all times following health & safety guidance
Other duties
The post holder will be required to work across sites liaising with Trust staff to identify records for scanning and/or storage. Continuing maintaining the established medical records libraries at Stoke Mandeville and Wycombe Hospitals including the retrieval, filing, and culling of paper case-notes and to work at the archive storage facilities.
· Sorting records returned to the department and tracking them to the appropriate location in using the Careflow case note tracking module.
- To sort records into order and file into the main and archive libraries; return notes to other libraries within the Trust; forward records to departments/specialities as required.
- Subject to staff levels and/or increase in workload the post holder maybe required to support work in the Scanning Bureau such as preparing records for scanning to agreed operating procedures.
General
- To maintain all storage and warehouse and medical records libraries in a tidy and efficient state.
- To answer telephone enquiries promptly and courteously.
- To assist in training any new or seconded storage staff.
- To assist with general administrative and clerical tasks within department as necessary.
- To be aware of and work in accordance with the Data Protection Act 2018 (DPA)
