JOB DESCRIPTION: ORDER CO-ORDINATOR

Caviar and Cocktails is a small, family business, growing rapidly, that supplies Caviar and Pre-Mixed cocktails to a mix of customers including trade accounts – restaurants, retailers, catering companies – and direct to consumer through our own website.

JOB FUNCTION
The purpose of this role is to take responsibility of all aspects of the order processing functions.
This includes:
- Decanting the caviar from its large delivery tins into smaller vacuum sealed tins in a temperature controlled environment
- Producing labels & attaching to the vacuum tins
- Recording all shipment & production information onto relevant paperwork to ensure we maintain full traceability records
- Creating shipping labels & booking collections with the couriers
- Packing the orders into boxes ready for collection
- Producing customer invoices
- Maintaining stock levels of all items required for each of the above steps
- Keeping the food processing area clean according to strict food hygiene standards
- Keeping the stock room clean, tidy and organised
KEY RESPONSIBILITIES
Caviar Processing
This work is carried out in refrigeration temperatures, so can get chilly. Protective, warm clothing will be provided. You will be required to achieve initially a Level 2 Food Hygiene certification, but we will provide the training for this. You will need to keep the food area clean, according to the company cleaning schedule. This part of the role involves decanting caviar from large 1 kilo original tins into smaller vacuum sealed tins according to the order requirements. The caviar is spooned into the small tins, weighed to ensure the correct amount is in the tin, then sealed using the vacuum machine. Full training and guidance will be provided, no prior experience is needed.
Order Processing
You will take control of the order on the full journey from when we receive the order until when it is handed over to the courier. This involves creating shipping levels, which requires high attention to detail and basic IT skills. You will be inputting the customer address into the courier website to create a shipping label. You will need to book the courier collections. You will also fulfil the orders according to the customer needs. This can be straightforward shipping of caviar or may be a more complicated order creating gift packs, multiple line items etc. You will need to be careful and accurate to select the right products for the orders, but training and support will be provided. The boxes need to be packed to protect the items inside.
Admin & Documentation
As a food business we are required to keep accurate records of all the processes. You will create and complete the daily diary, batch logs, production records & track all the shipments. It is important you are thorough, organised, and able to follow processes accurately.
You will also need to create labels for the backs of the tins of caviar, including inputting correct use-by dates, batch numbers and tin sizes. This is legal information that must be accurate. You will be labelling the tins according to the above information so you will need a high level of accuracy.
Stock Management
You will be responsible for keeping track of stock levels and ordering any items required for the order process
Cleaning
The food processing area needs to be kept clean and hygienic according to the HACCP requirements. Full training will be provided on this.
QUALIFICATIONS & SKILLS
- English & Maths GCSE Level 4 or above
- Knowledge of Microsoft Office able to use Word & Excel
- Food Hygiene Level 2 is required, but we can provide the training for that to be completed when you start with us
- High attention to detail and accuracy are essential. With luxury products customers expect the order to be correct first time

SALARY & BENEFITS
This job is a part-time role. Hours to be mutually agreed. Overtime may be available to assist with shows and events on weekends and also around Christmas. This will be offered on a voluntary basis.
The salary will be £12.00 per hour.
