Principal Accountabilities:
- Assisting residents with any queries
- Carrying out regular patrols of the building – Conduct health and safety inspections in accordance with service standards and contractual obligations
- Logging and reporting any maintenance issues to the Property Manager
- Management of keys
- General maintenance of the security for the Estate
- Ensure all common parts are clear of potential hazards including those attributable to seasonal changes including external footpaths.
- Keep communal areas clear of any obstructions particularly fire evacuation routes and exits.
- Responding to emergencies and escalating to Property Manager where required.
- To assume a residential on-site role and provide a point of contact for the residents and their needs.
- To ensure that the property is run smoothly and to provide a security presence and administration assistance where necessary, at specific times you will be situated at the main reception desk, between the hours, 0800 – 0900 and 1500 - 1600. Out of this period you will be conducting tasks as requested by the Property Manager or residents and all other duties to follow.
Responsibilities:
- To supervise the cleaning staff, ensuring a good standard of service
- Responsible for the welcoming residents and guests to the property.
- To respond proactively to resident requests. Always respond a timely and polite manner, ensuring that you are always courteous, polite and positive to residents, guests, suppliers, and the public in general.
- You will be required to conduct a minimum of two inspections of the communal areas of the building. At the end of your shift, you must ensure the property is kept clean, tidy and that all electrical/ technological appliances are always in good working conditions.
- While manning the main reception desk, you may be required to conduct a variety of administration tasks.
- At all times you are to ensure the security of the building is not jeopardized in any way.
- You are always to assist residents together with their guests and visitors when and where required. It should be remembered that your duty is to the residents, however, please note that any assistance given to any individual should not distract from your duties required to the whole.
- To perform all necessary porter duties. These duties include, but are not limited to, managing packages for residents etc.
- Generally, keep a daily record of all operations in the desk diary and daily report.
- When on Reception, to monitor all persons at the property and ensure they have a right to be present.
- To answer the Work Mobile call and deal with general enquiries. Report any relevant messages to the Property Manager.
- To monitor the presence of workers working within the building and supervise their activities to ensure minimum disturbance to residents and log in the diary.
- Co-ordinate access and building systems from front desk suite and monitor the CCTV and Fire Panel and react to alarms as directed.
- Liaise with Emergency Services as required.
- Log and report any incidence of disrepair by using the appropriate procedure/tool at your disposal. Immediately inform senior management of the incidence. This should include all building defects, plumbing, heating, and lighting in the common parts. Where such defects are considered an emergency, they should be reported to the Property Manager immediately.
- Report and monitor Health & Safety issues and ensure a safe working practice is adhered to.
- Conduct communal lighting inspections of the building and replace or report any defective bulbs. You are only permitted to replace bulbs following current Health & Safety regulations for working at height.
- Run a report 3 x per week on all systems around the building – this is to be seen to The Property Manager
- Monthly testing of Emergency lighting .
- Responsible for all refuse removal onsite from Mon- Friday ready for collection. The general waste is collected daily, recycling on a Tuesday morning and food waste on a Wednesday Morning, this task will involve Sorting and bagging of loose rubbish and placing them in correct bins for collection.
- To collect, securely tie, refuse sacks if found on inspection walk through and place in the bin’s storage areas provided in the communal parts. No bags or rubbish should be left in the common parts over night or for a prolonged period.
- Perform any additional duties as directed by management.
- Be flexible and have a hands approach. Please offer help and assistance to others where you can.
Job Type: Full-time
Salary: £27,000.00-£28,000.00 per year
