Subsea7 are looking for a passionate Group Travel/Communications Administrator to join our team in our Westhill, Aberdeen office on a permanent basis.
Subsea7 is looking for an enthusiastic Group Travel/Communications Administrator to support the Group Travel and Group Communications teams. The successful candidate will be required to perform a variety of administrative responsibilities, supporting both functions. Applicants must have the ability to prioritise workload, be flexible to work across a variety of activities and must be a confident communicator, comfortable dealing with a wide variety of stakeholders. This role will be based in Westhill, Aberdeen.
What will you be doing?
- Communicates directly with Group Travel and Group Communications teams, global travel agency and travel bookers, the wider global communications team, functions and employees
- Event management support and administration for Group internal and external events including attendee / RSVP management, travel and accommodation, preparation and distribution of event materials, liaison with corporate travel agent, functions and external third parties
- Concur Travel Booking System management and support for employees globally, including liaison with third party suppliers
- Review of daily travel reports for policy compliance
- 7ONLINE (intranet) updates, content editing and support
- SharePoint / Teams admin and support
- Diary management, calendar invites and meeting room bookings
- Communications and distribution list management, including management of shared mailboxes and following up on enquiries
- Supply chain management support including raising purchase orders, managing supplier queries and general budget management support
- General admin support for communications and travel projects and campaigns
- General admin support for team members
- Emergency Response admin support
- Image library / video management support
- Distribution management of literature and campaign materials.

- Excellent general administration skills with strong attention to detail
- Good communication skills, both written and verbal. You should be a confident communicator, comfortable dealing with a wide variety of stakeholders across various levels, disciplines, global offices and sites
- Demonstrates a good level of initiative with the ability to identify and highlight potential issues in advance of problems arising
- Able to work with highly confidential information, deliver with discretion and maintain the trust and confidence of client groups
- Confident with technology and IT systems, excellent working knowledge of the Microsoft 365 suite including Word, Excel, Teams, SharePoint and PowerPoint
- Proactive, flexible in approach and customer focused
- A self-motivated individual capable of working autonomously under own direction and as part of a team
- You will need to be organised, with an ability to prioritise your workload during periods of high volume, as well as conflicting and changing priorities and manage stakeholder expectations accordingly
- Experience of working in a travel or communications environment, desired but not essential.
