The role:
In this newly created role, the Grants & Contracts Manager serve as the “go-to” within the Fondation to support with all contractual needs (i.e., grants, service agreements, supplier contracts, etc.). They will serve as a key partner to the regional programmes teams and global functions (i.e., communications, executive, finance, operations), and as well with Chanel legal counsel. Working in close cooperation with Chanel legal counsel, they will be responsible for supporting the drafting and reviewing of agreements and contracts requested across the organisation as needs arise.
Over the next twelve months, Fondation CHANEL aims to scale its activities and capacities further with new systems and tools to enhance its operational effectiveness. The Grants & Contracts Manager will contribute to the redesign and systemisation of various operational workflows as well as the resulting change management process across the Fondation team, working closely with the Systems & Operations Manager.
We are looking for an agile and curious learner who can proactively understand the context, needs, and perspectives of stakeholders. A successful candidate need will be a forward-thinker with keen attention to detail, who thrives on continuous process improvement and working collaboratively with a varied range of stakeholders. A formal legal qualification is desirable but not required.
The impact you can create:
- Manages end-to-end workflow of all grant agreements and contracts including master service agreements, statements of work, non-disclosure agreements, and related amendments.
- Engages stakeholders across the Foundation to understand their contractual needs and goals to ensure requirements are accurately reflected in each contract and that potential risks are appropriately mitigated.
- Assures that contractual terms and provisions follow Foundation processes, guidelines, and policies.
- Reviews and negotiates agreement edits proposed by third parties to the Foundation’s standard legal templates and escalates to Chanel legal counsel and stakeholders, as appropriate
- Together with Chanel legal counsel, seeks ad hoc advice from external counsel, as appropriate.
- Leads process redevelopment work, identifying opportunities to streamline existing processes and improve templates.
- Conducts non-legal research and together with the Chanel legal counsel may conduct legal research, as requested.
- Training and equipping the wider team to manage operational aspects of the grant agreements and other contractual processes in the most effective way, driving ownership across the Foundation.
- Initiates signatures of all agreements via DocuSign and maintains records of all contracts and related documents.
- Contribute to a Fondation-wide project team to design and implement a new grants management system with streamlined grant paperwork workflow.
- Support of other ad hoc administrative needs, as appropriate.
What you will bring:
- A minimum of five (5) years of experience working in a charity or foundation with in grant administration and grant management, supplier contracts, and building and improving operational processes
- Proven project management, time management, and organisation skills, with impeccable attention to both detail and quality.
- An ability to quickly identify areas for improvement and make impactful changes, employing a test and learn approach
- A collaborative approach, adept at engaging stakeholders across all levels, quickly facilitating buy in and support
- Deep integrity, respect for confidentiality and discretion.
- Crisp, clear, and succinct written and verbal communication skills in English. Working knowledge of French or other languages, welcome and useful but not required.
