Purpose of the role: Woking as part of the Graduate Recruitment and Development team to provide an effective and efficient end to end graduate recruitment service for the London office.
Hours: 9:30 a.m. to 5:30 p.m. with flexibility in accordance with the needs of the business. Happy to talk flexible working.

The Role: Graduate Recruitment & Development Advisor (12m FTC)

Responsible to: Graduate Recruitment & Development Manager
Purpose of the role: Woking as part of the Graduate Recruitment and Development team to provide an effective and efficient end to end graduate recruitment service for the London office.
Act as a primary point of contact for all graduate recruitment queries, including to key internal stakeholders and external parties, and to provide a full and comprehensive service to support the effective recruitment, management, development and qualification of trainee solicitors in the London office.
Hours: 9:30 a.m. to 5:30 p.m. with flexibility in accordance with the needs of the business. Happy to talk flexible working.
Recruitment
- Screening of online applications for the solicitor apprenticeship programme, open days and events, annual vacation schemes and training contract opportunities.
- Work with the Graduate Recruitment & Development Assistant to maintain the graduate recruitment inbox daily, responding to all queries in an accurate and timely manner.
- Play a leading role in coordinating and facilitating the solicitor apprenticeship, vacation scheme and training contract assessment centres to ensure all relevant materials are ready for the day and each assessment centre has been resourced in advance.
- Administer online psychometric tests to candidates attending interviews for the solicitor apprenticeship programme, vacation scheme and training contract assessment centres.
- Oversee the Graduate Recruitment & Development Assistant to produce all offer paperwork for the solicitor apprenticeship, vacation schemes and training contract hires.
- Oversee the offer and acceptance process for all programmes and coordinate and deliver candidate feedback calls with support from the Graduate Recruitment & Development Assistant.
- Support the Graduate Recruitment & Development Manager in running wash-up sessions to confirm hiring decisions and outcomes.
- Assist in supporting the general recruitment team with scheduling of interviews and attendance at interviews when required.
Campus Activity and Brand Promotion
- Work with the GR&D Assistant to organise the annual attraction and events schedule, including on-campus, virtual and in-person events.
- Support the GR&D Manager by attending in-person and virtual events throughout the year.
- Work with the GR&D Manager in building relationships with university careers services and key external partners.
- Keep graduate recruitment publications and website entries up to date in conjunction with Business Development & the GR&D Manager.
- Maintain the Mayer Brown Futures careers website to ensure all content, key deadlines and opportunities are up-to-date.
- Maintain an engaging marketing campaign on the firm's social media channels in collaboration with the firm's Social Media Manager and the GR&D Manager to ensure global consistency.
Diversity and Inclusion
- Support the GR&D Manager with all diversity, equity and inclusion initiatives including internal activity and external partnerships.
- Assist in organising and attending networking sessions and events with our diversity partner organisations.
- Provide support in data collection and analysis to ensure we build a diverse talent pipeline.
Future Trainees
- Work with the GR&D Assistant to maintain up to date contact information for all solicitor apprentices and future trainees.
- Oversee payment of tuition fees, maintenance grants and reimbursement of deposits.
- Oversee and attend future trainee social events.
- Participate in the wider future trainee contact programme.
Development
- Lead on reviewing all trainee solicitor absence and keep the GR&D Manager informed of any issues.
- Oversee new joiner, changes and leaver process.
- Initiate the bi-annual mid and end-of-seat appraisal process and monitor progress. Support the GR&D Assistant in logging and filing all current trainee solicitor and solicitor apprentice appraisals. Review the appraisals for key development areas to escalate as appropriate to the GR&D Manager.
- Providing administrative support to the GR&D Manager during the bi-annual qualification process.
- Providing administrative support to the GR&D Manager during the bi-annual seat move process.
- Scheduling trainee career development meetings with the GR&D Manager.
- Provide pastoral care alongside the GR&D Manager and Training Principal, escalating issues as appropriate.
- Oversee and supervise the trainee social committee to enhance networking opportunities, promote wellbeing and ensure budget is adhered to.
- Running exit interviews with trainees where applicable.
- Responsible for all administration surrounding the client and international secondment process working alongside the GR&D Assistant.
- Keeping the HR system (Peoplesoft) up to date at all times alongside the GR&D Assistant.
- Keeping solicitor apprentice, trainee and future trainee personnel files up to date at all times.
Other
- Work closely with the GR&D Manager to help supervise, develop and coach the GR&D Assistant.
- Maintain and / or develop sound knowledge of the SQE route to qualification and support the GR&D Manager through the firm's transition of all future trainees onto this route from 2024.
- Focus on aligning, refining and developing internal processes and ensuring systems, records and policies are up to date.
- Oversee timely payment of all invoices relating to graduate recruitment and development.
- Run reports and produce metrics on Graduate Recruitment activities as required by the business.
- Involvement in developing the Mayer Brown brand and reach through Graduate Recruitment social media forums and developing an industry network.
- Other ad hoc duties within Graduate Recruitment and the wider HR team as and when required.
Qualifications: Graduate level or equivalent experience
Experience, skills and personal attributes:
- A minimum of two years' experience working within a professional services environment is required and within the legal industry is desirable.
- A strong administrative background gained within a fast moving and demanding environment is essential.
- Previous experience in recruitment and / or Graduate Recruitment.
- Experience in a busy and fast-paced role.
- Experience working with stakeholders and building influential relationships.
- Experience of working with international colleagues / stakeholders will be an advantage.
- Strong IT skills with literacy in Microsoft packages including Outlook, Word, Excel and PowerPoint.
- Excellent written and spoken English.
- Knowledge of ATS databases (AllHires is desirable).
- Ability to use own initiative and carry out duties with minimum supervision.
- Proven ability to work under pressure and to tight deadlines.
- Proven ability to handle high volume workloads.
