We’re looking for a bright, enthusiastic and people-focused Operations Executive to join our team. You’ll be managing design and software development projects, building and maintaining client relationships, and providing support to users of one of the UK’s leading online clinical record systems. It can be busy, but very rewarding!
We’re a small but fast-growing software and design agency (currently a team of seven) located in beautiful countryside between Folkestone and Canterbury. We specialise in producing software, Wordpress websites and marketing materials for a wide range of clients including major international pharmaceutical companies, trade associations, insurance brokers, and public affairs consultancies. Many of our clients are from overseas.
In addition, we own and maintain Qunote (www.qunote.com), one of the UK’s leading cloud-based SaaS platforms allowing private practice Case Managers, Occupational Therapists, Psychotherapists and the like to keep their patient data, record their clinical notes in a secure environment and do their billing. As part of the Qunote Operations team, you’ll help to define the product roadmap, develop new feature specifications, onboard new clients and support existing clients. You’ll also have the opportunity to assist with marketing campaigns and exhibit the system at industry events.
Responsibilities
Your main day-to-day responsibilities will include:
- Acting as account manager for clients, and managing projects to ensure they are delivered on-time and on-budget. Receiving projects briefs, preparing proposals, allocating work to design and development teams, and managing projects to completion
- Providing excellent customer service across phone, email and video calls. You’ll be the first point of contact for client enquiries, requests and issue reports
- Demoing Qunote to prospective clients, onboarding new clients, and providing support to existing clients using the system
- Working closely with colleagues to define software product roadmaps, overseeing product functionality improvements, and assisting with QA testing prior to go-live
- Presenting to prospective clients, drafting and negotiating contracts, exhibiting at industry conferences, and assisting with marketing activities
- Working alongside the CTO and Operations Team colleagues to maintain the company’s Information Security Management System
- Providing general administrative support to the business, including maintaining internal project management system and basic bookkeeping.
What you’ll need
Essential:
- You’ll be a graduate
- You’ll have a passion for providing fantastic customer service
- You’ll be tech-savvy and have an interest in software
- You’ll have excellent communications and writing skills, with an ability to explain complex concepts. You’ll need a friendly telephone manner and ability to build rapport
- You’ll have an analytical mind and excellent problem-solving skills
- You’ll have strong organisational skills when working on multiple projects and systems
- You’ll have a proactive, can-do attitude, and the initiative to develop new skills and knowledge
- You’ll have an ability to work under pressure and to tight deadlines.
Desirable:
- B2B customer service experience, ideally in a SaaS environment
- Experience in project management, ideally within a creative or software agency
- A track record of growing and retaining client base through successful onboarding and customer service
- Knowledge of Information Security and ISO27001.
The Offer
We’re offering £25-35k p.a. D.O.E plus bonus and a 5% contributory pension, 20 days’ annual leave plus bank holidays and a day off on your birthday. You’ll be encouraged to develop your skills set, with funds provided for you to undertake relevant external courses or training programmes. There’s plenty of scope for development.
We’re based in a beautiful location out in the countryside and there’s no public transport, so you’ll need a driving licence and vehicle and to live within reasonable commuting distance.
