Reporting to: Head of People

Location: Hybrid working between home and one of our UK offices: Lisburn (Northern Ireland), Peterborough, St Neots (Cambridgeshire), Bury St Edmunds (Suffolk)

The Role

We are undergoing an exciting time in our evolution and now seek a dynamic and ambitious Graduate People Assistant to join a growing business in October 2023. As a People Team, we collaborate in providing support to our sites in Lisburn, Peterborough, Bury St Edmunds, St Neots and Glasgow as well as a number of homeworkers totalling a headcount of approx. 180.

Joining our growing People Team located across NI and the East of England, you will support the smooth running of the department by providing administrative and logistical assistance, whilst having involvement in day-to-day People support activity in collaboration with other People Team members.

This role will draw on your experience in HR administration, the maintenance of HR systems and processes, recruitment and onboarding coordination, and event management. The role presents an excellent opportunity for an ambitious individual looking to kick-start their career within Human Resources, supporting on key strategic projects across wellbeing, recruitment and employee engagement, in a dynamic and growing organisation.

Key Responsibilities:

  • Provide a professional and confidential People administration support service to the business
  • Act as first point of contact for employees and managers across all locations for People related administration queries (employee benefits, people systems etc.) escalating issues to the wider People Team and external providers where necessary
  • Maintaining our HR Information System ensuring data integrity, maximising the system’s capability
  • Support the co-ordination of recruitment activity and on-boarding processes:

o Arranging interviews

o Preparing interview packs

o Applicant Tracking System administration

o Collating new starter information, creating new employee records

o Scheduling induction events

  • Provide administrative support to wider People Team e.g. letter writing, generating and compiling reports, arranging travel
  • Support the People Team as needed with employee relations activity such as absence management, flexible working requests etc.
  • Support general learning and development activity within the organisation

Essential:

  • A bachelor’s degree (ideally within a HR or business-related discipline)
  • Excellent communication skills, including oral, listening, written and presentation skills
  • An eagerness to build relationships with clients and colleagues, and the confidence to communicate with stakeholders at all levels
  • Willingness to learn and develop with the ability to manage your own workload
  • Ability to work collaboratively as part of a team
  • Proficiency in Microsoft Word, Excel, Outlook and Teams
  • Ability to travel to NI/GB as required
  • Ability to live and work in the UK (unfortunately we are unable to sponsor visas)

Desirable:

  • 2:1 degree classification
  • Previous experience working in a busy HR department supporting HR and/or recruitment administration (including a university placement year)
  • Previous experience of using a HR system (eg. Workday, SuccessFactors, PeopleHR)
  • Have obtained or are working towards CIPD Associate Level membership or a willingness to undertake
  • Previous experience of supporting people projects and events
  • Previous experience in an IT/Professional Services organisation
