An exciting opportunity for a Golf Tournament Coordinator to join Foxhills Club and Resort to ensure that members get a superb golfing experience and service, in line with our PGA and world class standards.
Foxhills is a family-owned, 4 star hotel and leisure membership club with over 4,300 members in Ottershaw, Surrey. In addition to 70 spacious hotel bedrooms, fantastic spaces for weddings and events, the club offers a wide range of leisure activities. Two 18-hole golf courses, a par-3 nine-hole, three restaurants, an award-winning spa and gym and eleven tennis courts are offered. ‘The Pavilion’, a £7m leisure facility with indoor and outdoor swimming pools, four activity spaces offering everything from art to Zumba classes, a deli-style restaurant and crèche make up our fantastic resort.

The role is for 40 hours per week working on a 5 days in 7 basis with weekends/bank holidays required on a rota basis. Please note that live-in accommodation is not available for this position.
Primary role objective - To successfully deliver golfing events and ensure that guests, club members and VIP’s receive a warm, friendly welcome to the golf courses and resort, where ‘nothing is too much trouble’ and excellent customer service is experienced throughout their visit.
Primary Responsibilities
- To work closely with the Golf Service, Professional and Sales Teams to ensure the highest standard of golf operation delivery possible.
- Deliver tournaments and competitions for Professional, Corporate and member.
- Manage corporate pre-event administration including Player sheets, Game Setup and Buggy Screen Setup where necessary.
- Deliver as part of wider remit – Golf Day Scorecard Preparation, Leaderboard Setup, Registration, Briefing, Scoring and Results Summary.
- Ensure event results are communicated to client post event.
- Be the primary contact to the Client during the event and troubleshoot any issues arising on or prior to the event.
- Supervise the Tagmarshal course intelligence software to ensure maximum guest satisfaction
- To assist the Head of Golf Operations in the preparation of annual budgets
- To be aware of all weekly golf, croquet and bridge activities ensuring good forward planning and accurate information is presented to Members and Club staff.
- To attend committee meetings when required and take minutes.
- Liaise with the Catering department and Match Captains to ensure quality service for events and matches.
- Attend pre-event meetings with Client and Sales Team to ensure smooth hand-over of event details and introduction.
- Actively look for ways to continually improve our offering and customer service standards.
- Manage, marshal and start the 2 championship golf courses including the Tagmarshal system management for walkers and carts.
- Ensure that the back of house areas are operated to the required standard laid out by the Golf Operations and Retail Manager during peak times, or as and when necessary.
- Ensure the changing rooms, shoe cleaner and golf bag store are kept clean and operating correctly and towels are replenished daily.
- Ensure that any group function signage, including banners or nearest the pin/longest drive markers for golf days/events are put out in the required places by the team.
- Manage and maintain the driving range including the collection of range balls.
- Ensure the buggy and trolley fleets are kept clean and in good working order ready for each day. This includes vehicle maintenance. Any required repairs to be priced and then authorised by the Golf Operations and Retail Manager using the set out Purchase Ordering process.
- Speak with every guest in a professional and courteous manner whilst striving to ensure that every guest leaves Foxhills feeling better than when they arrived.
- Take an active role in developing and delivering tuition services at Foxhills. Lessons will be delivered on a self-employed basis.
- Carry out duty management shifts in support of the operation.
- Communicate with internal and external customers in a friendly and courteous manner at all times.
- To maintain a professional standard of dress and appearance, in line with company standards
- Maintain a safe, clean and tidy work area
- To adhere to all statutory requirements regarding fire, health, safety and hygiene.
- To attend any training sessions as requested and adhere to company policies.
- Support colleagues in delivering a high standard of customer service
- Carry out any additional duties as reasonably requested by the management team
