J Job title: Global Mobility Assistant
Position: Full-time, permanent

Reporting to: Global Mobility Manager
Purpose of the job:
Work with Netherlands branch to provide support for their business travellers (based across EMEA region and from Japan) and with Global Mobility team to support activities related to global mobility to ensure smooth process and compliance with any regulatory requirements.
Netherlands Branch Duties
- Co-ordinate with Netherlands branch for travel schedule to prepare in advance correct documentation required for travel
- Check visa regulations for countries that business travellers are visiting
- Gather all documents required for visa applications and make applications. Work with third parties where necessary to make the applications
- Check requirements for social security documentation. Complete A1/similar applications
- Complete Posted Worker Notifications when needed and ensure compliance with this regulation
- Work with third party to ensure expatriate wage tax is calculated and paid for Netherlands branch each month
- Support visitors from Japan with any immigration and PWN requirement
- Keep up to date with immigration, tax and social security regulations for EMEA region
MHI-EMEA Global Mobility team duties
- Support business travellers, inbound and outbound, ensuring compliance with visa, tax and social security regulations. Maintain accurate and up to date records
- Help prepare expatriate monthly payroll and monthly payroll for our French company
- Prepare and send monthly benefit data to branches and group companies as required
- Help collect data for tax returns and complete provider spreadsheet
- Support the expatriate lifecycle communications and process
- Work with accounting system or directly with accounting team to arrange payments for invoices
- Maintain data administration to ensure accurate employee information is recorded (in HR system and outside of system). Keep data storage in line with data protection regulations
- Work with relocation firms, international agencies, vendors, and government officials
- Work as part of a team to achieve Global Mobility and HR goals
- Undertake other duties if required

- Has some experience with standard concepts, practices, and procedures for global mobility
- MS Office (Advanced)
- Japanese speaker ideal but not essential
Education
- English and Maths GCSE Grade C or above, or equivalent
Location
- Building 11, Chiswick Park, 566 Chiswick High Road, London W4 5YA
- Some travel to Netherlands required
- Visiting group companies’ offices in the UK and Europe if required
Working Hours
- Monday to Friday, 7 hours per day
