Location - Manchester (Bolton) (hybrid - 3 days a week office based)


THE ROLE

As part of the EMEA commercial team you will be responsible for the management and administrative control of EMEA market and UK entity local and export underground equipment contracts from inception through delivery and payment to successful conclusion. Monitoring and managing the contractual execution processes at every stage and taking the necessary actions required. A challenging and varied role liaising with global and local stakeholders as the contract expert and driver of efficient commercial processes.

CORE DUTIES

  • Support contract compilation and negotiation with the local teams – including customer negotiations.
  • Leading the contract review process and review of initial contract requirements and ongoing performance for pricing, cost control, shipping.
  • Ownership of the OE contract tracker/maps/process models to ensure key contract milestones are transparent and actioned accurately and timely.
  • Management of export schedules to expedite shipments.
  • Participate in conference calls with global teams/functions to discuss machine specifications, pricing and delivery issues.
  • Compilation and control of complex documentation for import/export, requirements to assist shipping, customs procedures and payment.
  • Co-ordinate shipping/export documentation collation and submission for all EMEA OE contracts and as required for UK export sales from global manufacturing sites.
  • Advising on letter of credit documentation and terms required using tracker model to enable invoicing and payments.
  • Support of the financing process for equipment contracts and financing controls: facilitating documentation for payment milestones, ensuring exporter obligations are adhered to, liaison with supporting bank/financier.
  • SAP set up and management of sales orders, lead time review, documentation, invoicing.
  • Work with sales and quotations manager to ensure specifications and SAP configurations are reviewed submitted accurately for SAP sales orders.
  • Contract amendments and change process management.
  • Support resolution of commercial and contractual issues/disputes/variations with local team and global commercial services team acting as subject matter expert and attend meetings to discuss/negotiate to ensure contract progression and risk management within global policy.
  • Monitor, communicate and support and liquidated damages/contractual penalty risk/commercial liability and closure/resolution of penalty clauses with Sales team/GM/Commercial Director/customers as required.
  • Monitor the progress of machine orders on a daily and weekly basis, address problems and concerns for the manufacturing plants to the Regions so that Regional Sales Offices and, accordingly, the overseas business units can be advised of necessary schedule changes to ensure that credit or letter of credit and financing problems are resolved before the scheduled shipment date.
  • Arrange specific invoicing and booking instructions local finance team for each machine package shipment.
  • Secure “Shipping Authorisations clearances” for current month’s production from Credit Department, Freight Forwarders and Regional Offices.
  • Request Project Managers be assigned as necessary to support on time completion of complex orders when contracts are accepted, and order is released to engineering and manufacturing.
  • Short-medium term support of US-India contracts, UK LCMs and India UK legacy credit control
  • Support the quotation department for OE and large service quotations ad hoc.


APPLICANT REQUIREMENTS

  • Degree level/equivalent education.
  • Proactive and very organised with a focus on accuracy, attention to detail and driving deliverables
  • Self-driven and with an ability manage multiple tasks at any one time and make complex decisions and influence contract stakeholders to achieve business best outcomes.
  • Good commercial awareness of contract language and contract obligations
  • Good maths and excel skills with appreciation of pricing approaches
  • Knowledge of heavy equipment export procedures and export documentation
  • SAP experience
  • Customer facing experience/ negotiation skills
  • Ability to participate in calls outside of the standard office hours, linked to the global nature of the role.
  • Ability to travel locally in the UK.
  • Product knowledge, basic engineering knowledge desirable.
    SALARY AND BENEFITS
  • Salary of circa £53,000 GBP p.a
  • 25 days holiday per year + statutory
  • 1pm finish on a Friday
  • Bonus scheme at 10% of salary
  • Salary sacrificed pension plan. Employee’s level of contribution is between 3% and 5% of pensionable salary, with a double matching contribution made by the Company
