Job description

We are looking for an enthusiastic and detail orientated individual to join our Mailbox Gallery in the role of Gallery Admin Assistant.

Our Mailbox Gallery is located in Birmingham's most luxurious shopping centre. This gallery is located on the second floor next to other high-end luxury retailers and stunning restaurants. The Mailbox gallery showcases contemporary art from some of the country's leading artists and in addition to hosting exhibitions and artist appearances throughout the year.

In this role you will be part of an exceptional team, managing all aspects of the gallery administration, allowing the sales team to focus on building relationships with our loyal client and showcasing our artwork across the gallery. This is a full-time, permanent position, working 5 days out of 7 (weekend work included) with a salary of £21,000.

Gallery Admin Assistant remuneration and benefits:

Key responsibilities as our Gallery Admin Assistant:

  • Database work. I.e. contacting existing clients to sign up to the website and increase total preferences.
  • Signing up new clients.
  • Database maintenance
  • Booking/Managing appointments for homes and in gallery
  • Responsible for managing the order process for clients once pre and after purchases are completed
  • Marketing the gallery through social media and will need to improve followers
  • Manage events and exhibitions throughout the calendar year
  • Responsible for chasing balances and managing live balances.
  • Supporting covering the ICC through the week.

Skills and experience required to become our Gallery Admin Assistant:

  • Positive and ‘can-do’ attitude, happy to get stuck in.
  • Strong organisational skills
  • Strong time management
  • Passionate about art.
  • Keen to learn and develop.
  • Ability to react quickly and efficiently to any queries or urgent tasks.
  • Strong communication skills
  • Excellent customer service skills

Please note that there will be a requirement to work some additional hours and occasional weekends for holiday covers, gallery events etc. If additional hours are required, a minimum of two weeks’ notice will be given wherever possible.
