Role Overview

The Funding & Compliance Coordinator role is responsible for ensuring that all publicly funded learners, primarily Apprenticeships and Skills Bootcamps, at Cambridge Spark meet the requirements set out by funding bodies, awarding bodies and End Point Assessment Organisations. Additionally, they are responsible for ensuring that company processes are adhered to and identifying potential risks to our ongoing compliance. The role will involve the use of relevant systems such as Aptem, DAS, HubSpot and ILR submissions and reporting.

This role will be required to work with stakeholders internally and externally at varying levels of seniority as well as delivering timely and accurate updates to our data, supporting the development and completion of reporting and ensuring that clients and learners are supported where necessary.

Key responsibilities:

  • Supporting with the preparation of the monthly ESFA submissions including completion of ILR updates for Apprenticeship & Skills Bootcamps
  • Processing of Withdrawals, Breaks in Learning, Returners and Completions of both Apprenticeships and Skills Bootcamps covering funding rules and compliance on a weekly basis
  • Providing reports to Senior Leadership/Management Team of Completions, Withdrawals and Breaks in Learning
  • Administration of DAS account ensuring all learners are added to DAS
  • Managing and responding to tickets raised through HubSpot
  • Supporting employers with the DAS account set up process and queries
  • Support with key compliance checks for both Apprenticeships and Skills Bootcamps covering onboarding, on programme and completion
  • Tracking learner attendance and resolving any discrepancies until all attendance is tracked automatically
  • Support Operations Coordinators with compliance related issues/queries
  • Support Funding and Compliance Lead with regular sampling of evidence packs against compliance requirements and data for compliance, quality and accuracy
  • Share reporting with team management on identified trends and recommended actions
  • Collation of evidence to support Skills Bootcamp submissions to external partners and funding bodies
  • Develop enhanced knowledge of Apprenticeships and Skills Bootcamps compliance requirements through attendance at sector events/training
  • Support with preparation for ESFA audit, or any other external inspection (Ofsted, EQA, Matrix)
  • Support with training and up-skilling across the wider teams
  • Support the wider Governance and Operations team with any administrative duties during peak periods
  • Develop and maintain positive working relationships with internal stakeholders
  • Attend and complete any mandated training or meetings to ensure continuous professional development
  • To support with any ad-hoc duties or requests that may be reasonably required to successfully carry out this role or to support the business‘ needs

Candidate Specification:

Essential

  • Significant experience working across Apprenticeship and/or Skills Bootcamps provision within a funding and compliance role
  • MI Systems experience such as: Maytas, PICS, Aptem or Bud
  • Excellent attention to detail
  • Excellent communication skills - written and spoken
  • Excellent customer service skills
  • Able to work independently as well as part of a team
  • Effective at planning/managing own time and great problem solving skills

Desirable

  • Advanced excel or google sheets experience
  • Experience of ESFA audit
