Fullhurst Community College are looking to recruit an Administrative Assistant to provide comprehensive administrative support and an effective customer-friendly, reception, telephonist service for the college whilst working towards achieving a Level 3 Business Administration qualification.
Candidates for this role must be 20+
What will the apprentice be doing?
- Ensure that allocated administrative and clerical records and systems are maintained accurately and kept up to date
- Ensure that callers and visitors to the college are dealt with in a friendly and courteous manner
- Ensure accuracy and confidentiality in dealing with requests and maintaining records
- Ensure that all allocated regular or scheduled administrative tasks and record updates are performed on time
- Ensure that all forms received are complete, accurate and processed correctly
- Ensure that the College’s standards of care are achieved
- Be proactive in the implementation of all college policies and procedures including equal opportunities policy, health and safety regulations, and safeguarding children in education - child protection policy
- Use SIMS to retrieve pupil data, timetable, registers, etc
- Liaise with Data Administrator when required to update student data, etc
- Provide a secure and up-to-date filing and recording system for all
- Photocopy, or arrange for photocopying, of resources, worksheets, exam papers, etc
- Type minutes, letters basic reports and documents as necessary
- Monitor stock and stationery levels for the faculties and place order with ESPO
- Log incidents, ensure that detention data is up to date and administration, e.g. letters and reminders are produced
- Assist with other office functions such as arranging transport for college trips/activities, etc
What training will the apprentice take and what qualification will the apprentice get at the end?
- You will work towards completing a Level 3 Business Administration apprenticeship standard qualification with the support and guidance of mentors within the workplace
