Our Front of House Receptionist position is a full time role, that’s connected to all services and teams of Sage House, delivering a wide range of vital services which are all designed to provide innovative and empowering care, support, information, advice, and activities for those living with dementia and their carer’s. We also have a vibrant Café which is open to all, as well as a Hairdressers, a Therapy room and Bathing Suite which are all booked in advance through reception.
The administrative responsibilities of the role include; answering the phone, taking payments for bookings, dealing which correspondence and emails, updating records in our Customer Management System.
We’re a busy charity, we’re constantly innovating and experimenting with new ideas… so embracing that can do attitude and working collaboratively with the broader team to help make things happen will be a huge asset.
The charity is embracing new technology and automations, to help manage bookings so an opportunity to shape this process, as well as respond to those who’d rather a more traditional approach.

Job Purpose
This is a customer facing role, providing a high quality, client focused service to all customers and visitors to Sage House. You will present a professional and courteous image to everyone, and show understanding and compassion to all who use our services. You will ensure the efficient operation of the reception area dealing with queries and directing people to the appropriate area/person.
The role will involve;
- Greeting, welcoming and directing visitors
- Dealing with phone calls and emails
- Maintaining computer based and manual records
- Dealing with general correspondence
- Assisting with general clerical work as required
- The receptionist will create the first impression to our customers and they will be;
- Friendly, caring and treat people with compassion, kindness, dignity and respect
- Efficient in the delivery of processes and ability to suggest new idea’s
- Inclusive, responsive, person-centred and innovative
Effective in achieving good outcomes for our customers while considering their wellbeing.
Responsibilities
- Welcome visitors, provide guidance, directions and assistance in an engaging manner and ensure a high standard of service is always delivered
- Communicate compassionately and politely when dealing with enquiries, showing an understanding where there may be communication barriers
- Answer telephone calls in a helpful and friendly manner
- Openand distribute incoming post to all teams
- Record and manage bookings for services by telephone or online
- Fill spaces for services/activities or free appointment slots on the day, following cancellations
- Maintain and update records on our Charity Log system of customers using Sage House Services
- Communicate with Marketing to promote spaces for activities/hairdressing & therapies
- Accurately cash up Reception and Café tills at the end of eachday and communicate to Finance any discrepancies
- Be flexible and support with administrative duties to assist other teams when required
- Maintain a high degree of confidentiality relating to our customers and visitors
- Be an Ambassador of the Charity, supporting the mission, ethos, and values
- Understand and remain up to date and compliant with GDPR, procedures, policies, and professional codes of conduct to uphold standards of best practice
- Contribute positively to continuous improvement of processes and services
- Work collaboratively with other teams and service areas, building positive working relationships
- Take responsibility to understand your role, document procedures and train volunteers or colleagues
Skills
- Confident with communication by telephone, email and face to face
- Excellent organisation and planning skills
- Good interpersonal skills to interact effectively
- Ability to work independently using initiative
- IT skills including a good knowledge of Word, Excel and Outlook and ability to learn new systems including ‘Charity Log’
- Adaptable and flexible approach to work
- Effective communicator with a polite and courteous manner
- Demonstrates a can-do attitude and responds positively to changing priorities
- Excellent listening skills
Qualifications
- Lived or work experience of people living with Dementia is desirable
- Previous experience in a receptionist role or working with the general public
- Microsoft Word and Excel

Salary: £19,261.85-£20,323.70 per month
