Duties:
- To support and assist walk in patients with their query.
- Book patient appointment in accordance with our booking process.
- Maintain an efficient appointment system by offering new and follow up appointments to patients who walk in.
- Effectively support drop-in clinics so patient is seen in a timely manner.
- Record requests for home visits.
- Record all messages accurately at the time they are taken and direct to appropriate team.
- Respond to general enquiries and explain Surgery procedures to enquirers.
- To open all incoming post and date stamp with distribution to most appropriate area.
- To ensure Practice Reception and waiting areas are kept clean and tidy through the day.
- To receive, check and sign for incoming deliveries of equipment, stationery, and vaccines etc ensuring they are stored away and recorded as appropriate.
- To stock up the reception area with all relevant clinical or non-clinical supplies such as registration packs, change of address forms, online access registration forms, sample bottles etc.
- To receive and deal with specimens from patients promptly, checking details and storing in
fridge ready for collected by courier.
- Update waiting screen with practice latest news directed by Business Manager.
- Register and deduct all patients in accordance with our practice policy.
- Process LINKS on systm one.
- Track the movement of medical records via PCSE.
- Order supplies from PCSE.
- Arrange collection and delivery of paper patient records.
- Building relationships with PCSE and dealing with patient record queries.

- Download and assign Econsultants
- Monitor and process all incoming electronic letters via SystmOne.
- Scan on all incoming letters and assign them to the Patient’s Medical Record.
- To take responsibility for ensuring visitors to the practice sites in line with the primary care policy and procedure on ‘visitors to site’
- Referrals to social prescribers
- Work with the GP Assistants to ensure patient journey is effective.
- Process all front desk administration including tasks.

- Liaise with hospital, social and nursing services staff as required.
- Treat patients with courtesy and efficiency and provide a helpful response to all enquiries
received.
- To deal with routine verbal information, requests from patients and other callers in person and
on the telephone
- Register and document patients in accordance with Practice policy
- To comply with Data Protection Act requirements for confidentiality of patient information.
- To use NHS net, internet, and e-mail as appropriate and in line with Practice protocol.
- To contribute to training and induction of new staff
- To take responsibility for ensuring visitors to the practice are checked line with the practice policy.
- To participate and contribute to regular and practice Meetings were deemed
necessary.
- To understand the importance of Health and Safety, to familiarise yourself with and follow all
Practice protocols and procedures reporting back problems to line managers immediately.
- To deal with all users of the service e.g. patients, health professionals and family members in
a professional manner, taking care and time to acknowledge and understand their needs.
- To adhere to non-discriminatory policies and to treat patients and work colleagues with
courtesy and respect.
- To promote good team working conditions and understand the needs of the other team
members.
- To follow relevant procedure in calling for the appropriate level of assistance in an emergency.
- To work in accordance with Practice policies and guidelines at all times.

Personal Specification
Experience- Essential
Experience of dealing with public. Understanding of confidentiality and disclosing information Knowledge and use of Microsoft work Ability to work under pressure, worked with data bases- Desirable
Experience of working in a GP practice Knowledge of patient administration systems worked as an receptionist/administrator/ HCA basis
Qualifications
Qualifications GCSE grades in English & Maths Qualified to NVQ level 2 / 3.
Working towards GP Assistant or hold a GP Assistant qualification
Report to GPA Manager
