JOB DESCRIPTION FOR THE FOODBANK COORDINATOR

Responsible to: The Trustees of Grantham Foodbank.

Responsible for: The Central Management and Coordination of the Foodbank project.

Location: Grantham and surrounding area.

Part-time Post: 30 hours per week. The working day is flexible within the core hours of 8 – 4:30, Monday to Friday. On occasion some hours may be worked over the weekend, by prior agreement. Job shares and other flexible hours options can be considered.

Permanent

Salary: £19,795 - £21,794 (subject to satisfactory completion of a 6-month probationary period).

Annual Leave Entitlement: 21 days plus Bank holidays

Overall responsibility of the job: Oversee the operation of Grantham Foodbank, with concern for its operational efficiency and standards in accordance with The Trussell Trust franchise model. In partnership with trustees: guide the development of the Foodbank project, including its material resources, financial assets, reputation, partnerships and volunteer body.

SPECIFIC RESPONSIBILITIES

Reporting to Trustees

· Report to the charity’s trustees at such meetings as the trustees may call.

· Advise the trustees of exceptional events, such as complaints, major press contacts, accidents, external evaluations or risk to reputation.

· Regular contact with member churches through Churches Together in Grantham.

Strategic development

· Work in partnership with trustees to produce a strategic plan and monitor its implementation.

Trussell Trust compliance

· Comply with the terms of the Foodbank franchise, including standard operating procedures.

Communications

· Maintain a Foodbank phone, email, and social media account.

· Be the first point of contact for enquiries, responding on behalf of the Foodbank with assistance from the volunteer administration assistant.

· Timely monitoring and responding to all queries and request which are face to face, by phone, email, or social media.

· Maintain positive public relations and be the public face of the Foodbank, using local events and media opportunities to promote awareness and maintain its profile.

Foodbank centre and volunteers

· Maintain, and develop, the Christian ethos of the Foodbank.

· Be responsible for the day-to-day management and delivery of the Foodbank vision.

· Regular liaison with:

o Current and potential donors of food (supermarkets, churches, schools etc.)

o Current and potential voucher partners.

o Foodbank projects in other areas.

o The Trussell Trust (regional management meetings and national events).

· To be responsible for the efficient running of the collection and distribution of food.

o The postholder is normally expected to be present during Foodbank opening times to lead or assist the teams in place including the meeting of clients and the offer of prayer with them.

o Ensuring the Foodbank is open for the distribution of food on Monday, Wednesday, and Friday afternoons.

o Ensuring that arrangements are in place for the warehouse to be open for the efficient sorting, storage and receiving donations on Tuesday and Thursday mornings.

o Ensuring that arrangements are in place for the warehouse to be open for the picking of food parcels for clients on Monday, Wednesday, and Friday mornings and to receive donations of food from the wider community.

· To be in regular contact with the warehouse to ensure efficient management of stock levels, stock taking, and supporting the annual audit for the Trussell Trust.

· A proactive approach to fund raising for the Foodbank.

· The recruitment, training and managing/supporting of volunteers.

o Work with the Volunteer Coordinator to keep an up-to-date list of volunteers so that contact can be made e.g., at Christmas.

· Delegate and supervision of duties, where appropriate, to volunteers.

· Ensure the effective implementation of all agreed policies and procedures (e.g., the voucher system, Health, and Safety, Safeguarding and GDPR).

o Check that Fire Safety and evacuation checks, rodent control and contact with environmental agencies are maintained.

o Ensure that all volunteers sign the Health and Safety policy to say they have read it.

o Keep an up-to-date file of documents for all drivers of the foodbank van.

Data

· Be familiar with the on-line data system, monitoring the key indicators.

· Support data volunteers to ensure regular and accurate data of stock and vouchers.

· Extract data reports to the trustees.

Agencies

· Communicate with referral agencies in response to queries or issues.

Finance

· Comply with the Foodbank’s finance policies.

· Liaise with trustees to identify resources for purchase.

· Provide the Foodbank Treasurer with details of payments and receipts, and supporting documents, to enable proper accounting.

Quality Assurance

· Monitor the views of stakeholders.

· Undertake the annual Quality Assurance visit from the Trussell Trust, in partnership with a trustee.

Any other duties which may be reasonably regarded as falling within the nature of the post and as requested by the Trustees. This is subject to the proviso that any changes of a permanent nature will be incorporated into the job description in specific terms.

· Confident user of Information Technology (e.g., email, word processing, spreadsheets, and social media).

· A driver with a clean driving license.

Personal attributes:

· A sound understanding of, and experience of engagement with, churches and Christians of different denominations.

· Have a personal and evident Christian faith and be willing to offer to pray with clients.

· Be passionate about tackling poverty, deprivation, and injustice with a desire to actively contribute to helping those in need, or who are marginalised within the local community.

· A non-judgmental and positive attitude towards people who are in need.

Desirable:

· An awareness and interest in current social / political issues that may affect the client group and work of the Foodbank.

· Experience of working in the voluntary sector and with public sector agencies.

· Local knowledge of statutory / voluntary agencies within Lincolnshire.

· Previous project management experience.

· An ability to build and maintain relationships that allow the foodbank to flourish. (Making presentations, giving talks, saying thank you, making groups feel part of everything the Foodbank achieves).

There is an occupational requirement that the post-holder is a Christian. This requirement is permitted under Part 1 of Schedule 9 of the Equality Act 2010.
