Foodbank Manager
Job Description
Responsible to: The Management Group of the North Lakes Foodbank
Responsible for: Central management and coordination of the Foodbank Project
Salary: £26,000 Full time equivalent (paid pro-rata)
Part-time: 25 hours per week, including some evening and weekend working
Contract: Two-year contract (with 6-month probationary period), subject to review thereafter.
Overall responsibility of the job: oversee all aspects of the operation of North Lakes Foodbank, including the Schools Work and any ‘More than Food’ initiatives that are running e.g., Holiday Lunch-packs scheme, with concern for its operational efficiency and standards in accordance with The Trussell Trust franchise model; At the direction of the Management Group guide the Foodbank Project, including its material resources, financial assets, reputation and partnerships. Manage a small team of staff and a large pool of volunteers.
Specific responsibilities:
Reporting to Management Group
- Report to the charity’s Management Group quarterly or at such special meetings as they may call
- Advise the Management Group monthly of any exceptional events, such as complaints, major press contacts, accidents, external evaluations or risk to reputation
- Provide the Director with minutes of meetings e.g., Centre Manager meetings, staff meetings etc so he is able to report to the Management Group as required
Strategic development
- Attend meetings at the request of the Management Group at least four times a year, providing a report in advance. Organise meetings of any MG sub-groups as requested.
Trussell Trust compliance
- Comply with the terms of the Foodbank franchise, including policies and standard operating procedures.
Staff/Volunteer Management
- Lead and line manage the team of paid staff, meeting regularly for supervision. Oversee their workload, targets and leave arrangements
- Deliver and maintain a team of well trained volunteers sufficient in number to deliver all the different aspects of the work of the Foodbank
Communications
- Maintain a foodbank phone and email account
- Lead on the Social Media presence of the North Lakes Foodbank, recruiting volunteers to assist
- Ensure there is always a first point of contact for enquiries at the Foodbank. This can be the Foodbank Manager, the Assistant Manager and volunteers who will be recruited to assist in this work to give the organisation more flexibility
Foodbank Centres & Volunteers
- Deliver and maintain a team of well trained volunteers sufficient in number to deliver all the different aspects of the work of the Foodbank. Identify roles for Volunteers and recruit thereof
- Visit the Foodbank Centres on a regular basis
- Liaise with Foodbank Centre Managers to monitor operational standards and hold regular Centre Manager meetings to facilitate good communication and consistent standards across the Foodbank
- Assist the (volunteer) Chaplain in delivering pastoral care and upholding the Christian ethos of the Foodbank.
- Visit the warehouse on a regular basis and engage with the Volunteers
- Liaise with the Warehouse Manager to monitor operational efficiency
- Support the Warehouse Manager to monitor Health and Safety, ensuring compliance with statutory requirements and good practice ,including Safeguarding.
Food supplies
- Liaise with the Warehouse Manager to monitor stocks levels, ensuring appeals are issued as necessary
Data
- Be familiar with the on-line data system, monitoring the key data indicators
- Support data volunteers to ensure regular and accurate data of stock and vouchers
- Extract data for reports to the Management Group
Agencies
- Lead on Communication with referral agencies to ensure that there is robust communication
Public Relations
- Lead on the engagement of supporters and partners e.g., through newsletters and social media and talking at groups
- Lead on issuing press releases as appropriate, and respond to local press enquiries
Finance
- Comply with the foodbank’s finance policy, local procedures and financial authorisations.
- Liaise with the Management Group to identify resources for central purchase
- Ensure that the APM provides the volunteer Treasurer with details of payments and receipts, and supporting documents on a monthly basis to enable proper accounting.
Quality Assurance
- Monitor the views of stakeholders
- Undertake the annual Quality Assurance visit from The Trussell Trust
- Oversee the Annual Stock Take
Requirements:
- Ability to manage and monitor the development of a project (E)
- Experience of managing, leading and motivating a team of people ( E)
- Experience of working or volunteering in an organisation that deploys volunteers ( D)
