Department Overview
The Fleet Manager role will sit within the People Services function reporting to the Senior Manager – Payroll & People Services. The People Services function is responsible for the end-to-end administration of the colleague lifecycle ranging from payroll processing to pension administration through to car and van fleet management.
The team are responsible for the timely production of all payroll activity always ensuring the highest degree of accuracy. A major component of our activity relates to statutory compliance including HMRC, Pension Regulator and Minimum Wage and compliance is at the forefront of our minds in everything we do. The Fleet Manager role will take full responsibility for ensuring the effectiveness and efficiency of the operation of our Company Car, Grey & Made to Measure (M2M) LCV fleet of approximately 450 vehicles.
Role Responsibilities
- Effective and efficient day to day management of our outsourced van and car fleet management partners
- Cost analysis ensuring any out of contract costs are fully investigated
- Timely resolution of all escalations to a satisfactory conclusion or Senior Manager People Services as appropriate
- Regular review of activity to identify trends with a view to recommending appropriate courses of action
- Close liaison with our M2M business management ensuring the effect operation of the M2M fleet.
- Analysis, reporting & overall management of telematics data highlighting areas of concern
- Regular business review meetings
- Close analysis of out of contract costs challenging where necessary
- Full responsibility for co-ordination and updating of fleet related systems both internally & externally to ensure alignment
- Effective fine management process eliminating unnecessary administration for all vehicles
- Management of end of term damage charges and recovery from colleagues where necessary
- Timely update, circulation and adherence of company car and van policy documents to all drivers
- Oversight and management of our Driver Licence and Grey Fleet Checking processes with our external provider
- Close liaison with our internal Finance team to ensure correct allocation of all Fleet related costs
- Continuous management and analysis of our ad-hoc vehicle hire usage with recommendations where necessary on how to reduce this cost
- Review & documentation of all existing fleet related processes with a view to proposing recommendations for process efficiency
- Close liaison with our internal Health & Safety team relating to high-risk drivers
- Full responsibility for all fleet related P11D & P46 Car reporting
- Effective management of our insurance database ensuring all appropriate vehicles are insured
- Oversight of all accident management processes with our fleet providers raising escalations where necessary
- Compile, present and explain as necessary to key stakeholders at all levels within the business progress against deliverables.
Whilst the above activities will be key within the role, there will also be the requirement for the Fleet Manager to become our eyes and ears within the Fleet industry bringing us recommendations and proposals on how we take our fleet forward. Our journey to a zero-emission fleet has only just started and we will expect this person to lead in this area. We want Dunelm to be at the forefront of developments in the Fleet Management arena and therefore the right person for this role will need to have drive and determination
Essential Skills required for the role:
- Expert communicator at all levels within the organisation both written and verbal
- Confident at communicating information to audiences at all levels whether in person or remotely
- Able to interpret complex financial and other data to drive decisions
- Able to build strong relationships with internal and external stakeholders
- Financially aware and able to drive down costs and increase value wherever possible
- Able to review and recommend improvements to process where required
- Intermediate level experience in MS Excel, PowerPoint etc
- A keen interest in car/LCV industry
- Able to balance a complex and busy workload, prioritising where necessary
- Able to embrace new technologies to enhance our driver experience and keep Dunelm abreast of technological developments
- Adaptable and able to accept change
Desirable skills for the role:
- Previous experience within a car/LCV Fleet Management Capacity
- Understanding of telematics
- Experience of developing company car policy
- Current driving licence
- Relevant Fleet Management qualification
