Job Title: Retail Fleet & Logistics Assistant Manager
Spinal Point Range: 6,7,8
Hours: Full time equivalent 22.5 hours per week (5 days over 6, including Saturday)
Department: Retail- Fleet and Logistics
Location: St Michael’s Hospice Call Centre, Hereford
Reports to: Retail Fleet & Logistics Manager
Responsible for: supervising 11-15 retail drivers (including bank drivers), 2 volunteer drivers and approximately 30 volunteer customer service assistants.
Job Purpose: To support and supervise the co-ordination of customer collections, deliveries and stock distribution to St Michael’s Hospice retail units in order to ensure a smooth and efficient service to customers and maximise income and profit.
Responsibility Areas:
Service Management and Logistics
- To supervise retail transport requests (telephone, online, email, etc.)
- Plan and organise transport logistics to meet the daily requirements by setting up rotas, routes and driver/vehicle allocations to complete the daily workload associated with St Michael’s Hospice Furniture Collection and Delivery Service and distribution of stock across the retail network ideally via an electronic system.
- Keep accurate records of all journeys, collections, deliveries, transfers, vehicle maintenance/servicing logs and driver hours/activity.
- Analyse and resolve collection/delivery issues in a timely fashion.
- Support the Fleet & Logistics Manager alongside the Home and Living Managers to improve productivity and customer service.

People Management & Communication
- Line manage bank drivers, carrying out regular 1:1s and annual appraisals
- Take a shared responsibility to carry out supervision of all retail drivers and volunteers. This includes assigning and monitoring their work; ensuring they work in a logical, time efficient manner, minimising fuel costs and maximising driver hours; reviewing and encouraging/enabling their development and training (driver training and customer care skills)
- Participate in effective recruitment, training and retention of retail drivers and volunteers to assist in all aspects of logistics and associated business.
- Ensure all retail drivers adhere to Hospice policies and procedures in line with expectations set down by St Michael’s Hospice.
Legislative Compliance
- Ensure compliance with all Hospice Health and Safety policies and procedures.
- Ensure that Hospice safeguarding procedures are followed and any issues escalated to Head of Retail.
- Ensure compliance with all relevant Trading Standards and Environmental Health.
- Ensure compliance of vehicle legislation such as MOT, servicing and tail lift inspections.
- Ensure that all donor information is stored in the correct way following the latest
General Data Protection Regulation (GDPR) guidance.
- Ensure Retail Gift Aid procedures follow HMRC regulations and undertake any gift aid training.
- Supervise the Fleet & Logistics Manager in regular driver risk assessments.
- Ensure drivers comply and record all fire and health and safety checks.
- Document and investigate incidents and accidents and report to Reporting of
Injuries, Diseases and Dangerous Occurrences Regulations (RIDDOR) if necessary.

Person Specification
1) Specialist Knowledge and Experience
Essential
- Experience of working in a similar logistics role
- Excellent customer service skills
- Proven people management
- IT skills (including Microsoft packages and Database skills)
Desirable
- Experience of managing volunteers
- Good geographical knowledge of Herefordshire and the surrounding areas
- Be in possession of a full UK driving licence, be over 21 and have held a full licence for 12 months

3) Special Conditions
- Occasional loading and unloading of vehicles and possible handling of soiled and broken materials including potential contact with needles, requiring personal protective equipment if driver cover is required in an emergency
- Contact with bereaved individuals
- Out of hours on-call for security of premises to include evenings and weekends.
- Requirement to work Saturday
