JOB DESCRIPTION AND POSITION REQUIREMENTS:
The College of Agricultural Sciences is hiring a Financial Assistant . The candidate will serve as Financial Assistant for the Department of Agricultural & Biological Engineering (ABE) by working closely with the Administrative Coordinator on all budget issues. Duties include:
Responsible for processing and maintaining part-time employees and work study employees for the department.
Process wage payroll appointments, updates, terminations, and files.
Advise faculty, staff, and students on policies and procedures.
Serve as travel coordinator for the department.
Make travel arrangements for faculty, staff, and students as needed.
Process employee and non-employee travel reimbursements and travel group meals.
Advise faculty, staff, and students on travel policies and procedures.
Serve as the liaison between College of Agricultural Sciences Financial Office and ABE Department.
Track all gifts and expenses for the ABE building funds and provide monthly (or more frequently if needed) updates to the Department Head.
Create spreadsheet to track monthly income and expenses for the departmental teaching, research, and Extension general funds to ensure accuracy of expenses and income.
Under the supervision of the Administrative Coordinator, initiate the processing of electronic forms in SIMBA and reconciling purchasing card transactions.
Ensure accuracy in departmental budgets, review account balances for faculty budgets and grants.
Provide monthly updates on state of the departmental budget affairs to the Department Head.
Education and Experience:
This position will be filled as a level 3 and typically requires a High School diploma or higher plus three years of related experience, or an equivalent combination of education and experience. Excellent organizational, communication and interpersonal skills are required. Attention to detail and good judgment are vital requirements, as well as the ability to work within a team environment. The position requires a high degree of self-management skills with multiple time constraints and completing priorities. The candidate will need to analyze expenditures for appropriateness and compliance within each University purchase. Assist and direct faculty, staff, and students on appropriateness of expenditures. Effectively safeguard and control sensitive/confidential information. Answer/screen calls; greet visitors; provide information or refer as needed. Provide general office support; support for faculty, staff, and students as needed. The successful candidate must demonstrate a genuine appreciation in working with diverse audiences. Strong computer skills; experience with Microsoft Office Programs, the Penn State systems, SAP, SIMBA and other essential software are preferred.
