Job purpose
The Finance Trainee is enrolled on the Finance Trainee Programme which is designed to provide the trainee with the opportunity to develop the skill set to support their professional financial qualification (Qualified Accountant) and to gain experience in the various teams that underpin the Finance Operations department. The trainee will have a placement with each team within Finance Operations over a three-year period – this will include 2 years with AP/AR/CC and then 1 year with Management Accounting (6 months on revenue and 6 months on costs) with a view to then going on to utilise and develop these skills within an accounting role in the wider Finance team.
Key Responsibilities
The trainee's responsibilities will be dependent on the team they are supporting. The teams are as follows:
Accounts Receivable: The team is responsible for the administration and allocation of revenue receipts from 3rd party providers and clients, including the resolution of queries and requisition of missing statements.
- Allocating provider revenue receipts onto Xplan in a timely and accurate manner
- Maintaining and updating records used as part of the revenue allocation process
- Responsible for raising and resolving queries on provider statements
- Ensuring statements are chased/scanned and saved accordingly
- Work must be completed in line with CASS rules and Data Protection legislation
- Maintaining the cashbooks daily for all necessary bank accounts
- Completing month end routines in relation to Commpay and the preparation of month-end MI.
- Complete quarterly Direct Debit collections and reconciliation
- Ensuring all commissions and fees are allocated to Commpay and STAR in a timely and accurate manner
- Assist other members of the Accounts Receivable team with projects and ad hoc requests as and when required
Accounts Payable: The team is responsible for the processing and payment of employee expenses and supplier invoices ensuring they have been duly authorised, coded correctly, and settled in line with supplier payment terms.
- Processing employee expenses and supplier invoices using Concur & Netsuite
- Processing the weekly employee expense and supplier payment runs
- Ensuring all invoices and expenses are authorised
- Ensuring all employee expenses are compliant with company policy
- Running ad-hoc reports on Concur and Netsuite
- Maintaining a shared AP inbox
- Dealing with employee and supplier queries in relation to their expenses/invoices
- Supplier statement reconciliations
- Supporting the roll out of a new PO system
- Ensuring all employee expenses and supplier invoices are allocated to the correct business area or project
- Providing a high-volume client credit control service, primarily using telephone calls to contact and secure payment promises from clients
- Daily Review of all payment promises, prompt following up of any broken arrangements
- Raise, record and follow up on all client disputes on own debtor portfolio, escalating overdue resolutions to Head of Business/Line Management as appropriate
- Recommend appropriate Bad Debt Provision requirements to Line Managert
- Preparing submissions to external lawyers/collection agency for enforcement
- Comprehensive credit control of own portfolio to ensure all overdue debtors are appropriately followed up each month
- Provide comprehensive reporting on own portfolio of debtors, regarding payment promises, client query status and “Partner Resolving” situations to Line and Operational managemen
