Job description
Provide support to the Financial Services’ technical and services team, specifically the Reconciliations and Cash Accountant, Capital and Systems Accountant, Deputy Financial Controller and Financial Controller.
The post holder will be expected to work independently but under the supervision of the Capital and System Accountant, who will retain responsibility for the accurate and timely completion of tasks.
Ensure the Trust has accurate and complete records for its financial and capital ledgers, adhering to accounting procedures, processes and deadlines as advised.
VAT , Capital Systems , Finance Systems including SOD and ledger Reconciliations including agreement of balances.

All tasks are to be approved by the RCA prior to any ledger journal preparation or raising of invoices.
Maintenance (including timely reconciliation and clearance of outstanding items for) the Trust’s control accounts, suspense accounts, bank reconciliations and other accounts to ensure transactions are properly incurred and accounted for to local and national performance standards, as per the timetable advised. In particular, this includes:
Assist RCA with review of the appropriateness and timely/correct reconciliation of all suspense, control and bank accounts performed within the Trust (with the exception of stores/stock and prepayment/payments received in advance and deferred income accounts).
Liaison with Shared Business Services (SBS) to ensure cashbook figures balance and notifications of revoked/cancelled cheques are up to date.
Assist RCA with monthly reconciliation of cashbooks to General Ledger, investigation of discrepancies; rectify same in a timely manner for accurate month/year end reporting.
Assist RCA with completion of Overpayments of Salaries Schedule for current staff and leavers from information supplied by the Trust’s payroll provider, to be shared with Human Resources on a monthly basis. The post holder is required to prepare invoices to issue to leavers as well as follow up any queries with regard to salary over-payments.
Assist RCA with recording, confirmation and preparation of monthly and quarterly payments to NHSBS (NHS Pensions) for superannuation contributions, compensation and injury benefit payments; providing information to support associated regular provision assessments.
Involvement in collation of Tax and NIC data, accurately record same in readiness for payment to HMRC on a monthly basis in accordance with their notified deadlines.
Assist RCA with review and challenge/confirm all suspense/control accounts and bank reconciliations performed by SBS. First point of contact to resolve outstanding items on any items identified.
Assist RCA with review Road Traffic Accident (RTA) and Injury Benefit (IB) information maintained by Cash Office colleagues. Once confirmed, prepare RTA / IB journal on a monthly basis for inclusion in the Trust’s management accounts.
Assist RCA with review, spot check and investigate monthly VAT return information from SBS prior to sign off by RCA for submission to HMRC, per notified strict monthly timescales. Assist with annual VAT reconciliation. Support data preparation for any independent external consultants VAT review and/or HMRC Inspector site visits.
Assist RCA with reconciliation of other pension schemes (currently only National Employment Savings Trust – NEST) data compilation and confirm accuracy with HR department prior to payment.
Support RCA with quarterly and annual Government Creditor Agreement of Balances preparatory work for submission to NHSi in accordance with circulated national quarterly and year-end timetables.
Capital and Systems Accountant (CSA) support
All tasks are to be approved by the CSA prior to any ledger journal preparation.
Capital
Run monthly purchase order report and update Capital Programmes with relevant information.
Assist CSA to liaise with Trust departments regarding property, plant and equipment additions and disposals documentation on a frequent and regular basis, as schemes complete/decommission.
Assist CSA with completion of asset disposals forms to support the disposals reconciliation, utilising the Trust’s fixed asset register (FAR) to update financial and asset information.
Assist CSA with completion of additions forms to prepare the additions reconciliations prior to input to the FAR, confirming details with departments.
Assist the CSA with preparation of depreciation and finance lease journals on a monthly basis, confirming figures with the CSA.
Support CSA with the annual asset verification exercise (Positive Returns), liaising with departments across the Trust to ensure timely and accurate return of completed paperwork to CSA for audit trail and FAR update.
Systems
The CSA will review all SBS amendments on a weekly basis (from audit reports). Any concerns regarding requested system changes must be discussed with the CSA prior to adjustments being made.
Run monthly SBS reports relating to system access changes plus the monthly journal listing report.
Use the monthly ‘starters / leavers’ report provided by the HR department to identify leavers. Follow procedures to confirm leaver status and update SBS system accordingly, re-directing workflows as necessary after authorisation by CSA.
Update SBS system as required by end users, including adding/amending users when authorised in accordance with Trust Standing Financial Instructions (SFIs) and Scheme of Delegation (the Scheme) after confirmation with CSA if necessary.
Maintain and update SBS Issues Log on a frequent and regular basis (weekly as a minimum).
Financial Services Manager (FSM) support
Assist FSM with review and updating of GBS cash reports on a daily basis, reconciling back to bank statements. This includes running BI cheque reports and updating all relevant information on spreadsheet.
Run monthly BI duplicate payment report and investigate any issues, in readiness for the annual National Fraud Initiative Duplicate Invoice audit actioned by the FSM.
Year-end tasks
Support senior Financial Services colleagues with year-end tasks, specifically:
Assist with checking and action of debtor and creditor variances.
Monitor all year end control accounts, updating daily and prepare coding correction journals as required.
Support senior Financial Services colleagues with the preparation of New Year folders, files and spreadsheets in readiness for Month 1 accounting.
