Finance Officer

Part-time, 20 hours per week

Livingston

Salary - Competitive based on experience

1-year fixed term contract (with possible extension subject to funding)

Hours: 20 hours per week which can be worked flexibly across the working week.

S.M.I.L.E Counselling is a registered charity in Livingston, providing much needed counselling and support to the young people of West Lothian. Constituted in 2015, we aim to deliver a bespoke outreach counselling service to young people to get them into a good place where they feel Supported, Motivated, Inspired, Leading to self-determination and Empowered to make their own positive choices.

We have been steadily growing our impactful team and now we need to add extra robustness to our finance function.

We are seeking a skilled and detail-oriented Bookkeeper/finance professional to join our team. The Finance Officer will play a vital role in maintaining accurate financial records, tracking transactions, and ensuring compliance with regulatory requirements. This role requires a strong understanding of financial principles, exceptional organisational skills, and a commitment to supporting our mission of making a positive impact in the community.

We will need someone who can work 20 hours per week. Our office is open between 9am and 5pm.

What would you be doing?

Your role would see you working closely with our CEO, Treasurer and Business Manager and would see you being responsible for ensuring that all our finance processes are managed efficiently and effectively. Your day-to-day duties would include;

Financial Data Entry and Record Keeping:

  • Accurately record financial transactions, including income, expenses, and donations, into the accounting system
  • Maintain organised and up-to-date electronic and physical financial records for easy retrieval and audit purposes
  • Reconcile bank statements and other financial documents to ensure accuracy

Accounts Payable and Receivable:

  • Process and track invoices, expenses, and payments in a timely manner
  • Manage accounts receivable, tracking incoming donations and ensuring proper acknowledgement
  • Monitor outstanding invoices and follow up on any overdue payments

Banking

  • Process physical and electronic transfers, deposits and withdrawals
  • Make bank payments within set limits

Purchasing

  • Process purchase orders as requested

Financial Reporting:

  • Assist in the preparation of monthly, quarterly, and annual financial reports
  • Generate financial statements, including balance sheets, income statements, and cash flow statements
  • Provide accurate financial information to management and auditors as required

Budget Management:

  • Assist in creating and monitoring the organisation's budget
  • Collaborate with relevant departments to ensure budgetary compliance and accuracy

Costing and Financial Projections

  • Assist with costing projects
  • Assist with financial projections

Compliance and Regulations:

  • Stay up-to-date with relevant financial regulations and accounting standards
  • Ensure compliance with Scottish charity regulations and reporting requirements

Communication and Collaboration:

  • Work closely with other team members to gather necessary financial information and resolve discrepancies
  • Collaborate with auditors during annual audits to provide requested documentation and explanations
  • Respond to financial enquiries from customers and suppliers

What are we looking for?

Essentials:

  • HND2 Accountancy
  • Excellent attention to detail and accuracy
  • Proven experience (3 years) working as a bookkeeper or in a similar financial role
  • Strong organisational and time-management skills
  • Strong understanding of accounting principles, practices, and regulations
  • Ability to work independently and as part of a team
  • Ability to multi-task in a fast-changing environment
  • Effective communication skills, both written and verbal
  • Proficiency in accounting software (QuickBooks preferred) and Microsoft Office Suite

Desirable:

  • Desirable AAT Qualification
  • Experience in a nonprofit or charity environment as a bookkeeper
  • Familiarity with Scottish charity regulations is a plus -
