Post: Finance Officer
Hours: 37 hours per week
Pay Scale: Scale Point 12 to 18 - £24,496 to £27,344 per annum
Accountable to: Regional Finance Director
Purpose of the Job
To provide a customer-focused, efficient and effective finance shared service operation that meets the needs of all customers and stakeholders, internal and external to the School(s) and Trust. The Finance
Officer is an essential member of the Finance Team, who will facilitate accurate, timely and efficient financial processing in accordance with the School(s) and Trust’s financial regulations, policies and procedures.
Main duties and responsibilities
1. Financial processing
- Ensure new supplier account requests are processed quickly and in line with the Trust’s procedures on setting up new suppliers and in accordance with best practice;
- To support budget holders with the accurate, efficient and effective coding of purchase requisitions and purchase orders for financial processing;
- To receive, check, scan and process all invoices and credit notes once goods and services are received, using the Trusts financial system (PS Financials) to allow prompt payment to suppliers
- within credit terms;
- To prepare payment runs by BACs or cheques in line with the Trust’s financial regulations and procedures;
- To liaise proactively with budget holders in order to ensure transactions are accurately and efficiently processed;
- Review supplier statements and investigate all queries through to resolution;
- To produce the aged creditors reports for analysis and monitoring;
- Record and administrate the school’s cashless payment system used for trip, catering and other miscellaneous income.
- Process all bank transactions within the finance system ensuring payments and trips are accurate and kept up-to-date
- Perform monthly reconciliations on the bank account
- Ensure all sales invoice requests are processed on a timely basis and are correctly allocated to the appropriate school(s);
- To produce the aged debtors report for analysis and monitoring;
- To lead on the collection of aged debtors with the support of the Regional Finance Director;
- To ensure credit card or procurement cards are appropriately managed and expenditure corrected allocated;
- To produce financial journals as part of the monthly reporting process as required.
2. Financial administration
- Check the finance email account regularly, acting upon or forwarding the action to colleagues as appropriate;
- Maintain excellent electronic and manual filing systems and audit trails for all financial processes;
- Monitor and administer school cash funds, including students’ trip, uniform and other miscellaneous monies, carrying out regular checks and reconciliations, as appropriate;
- To have overall responsibility for the receipt, counting, safe-keeping and banking of all monies received by the school(s);
- Monitor and administer arrangements for student trips.
- Forward transactions for approval within the policies and limits set out in the scheme of financial delegation.
- To support the month-end close down and year end close down processes, as appropriate;
- To support the school(s) and Trusts internal and external audit;
3. Communication
- To support the training of budget holders and other colleagues in the use of the Trust’s finance ordering system (PS Financials My Portal);
- Maintain good communications with suppliers, customers and other parties, including banks;
- Manage strong and effective communications with all service users, maintaining a customer – service ethos at all times.
4. Any other duties
- Comply with the Trust’s policies, financial regulations and scheme of delegation at all times
- Undertake any other duties as required by the Regional Finance Director.
