Finance Assistant - Accounts Payable
Reports to:
Purchase to Pay Manager / Accounts Payable Supervisor

Purpose of role
To undertake duties pertinent to the central finance function, focusing on (but not restricted to) Accounts Payable. Such duties to include the timely processing of all relevantly approved invoices against purchase orders primarily within the Purchase to Pay System, conducting supplier reconciliations and dealing with invoicing queries.

Must adhere to and work in accordance with the requirements of the company’s Financial Controls Manual.
Performance objectives to be set by the Purchase to Pay Manager.
Key Responsibilities may include:
To manage own daily workload given in the Accounts Payable team, including:
Ensuring new suppliers are set up in a timely manner and only with appropriate documentation and authorisation
All supplier invoices/credits are appropriately approved, correctly coded and supported by appropriate documentation before being posted on a timely and accurate basis
Supplier and Invoicing queries are addressed on a timely basis, adequately investigated and escalated where necessary prior to effective resolution
Supplier payments are valid, appropriately authorised, timely and in accordance with supplier terms
Supplier statements are accurately recorded on a timely basis
To monitor and review supplier balances and investigate unusual, aged and debit balances including unallocated cashbook balancesTo reconcile the aged creditors ledger to the general ledger, communicating and investigating discrepancies
Monitor and assist in the overall Procure Wizard purchase order process.
Reconcile Travel Agent Commission statements against in-house systems information

Qualifications
GCSE English and Maths Pass grades
Recognised foundation accounting qualification e.g. AAT
Previous experience
Minimum one year experience in AP function in a medium to large sized organisation
Three or more years’ experience in AP function in a medium to large sized organisation
Systems experience
Proficiency in the use of a mainstream Purchase Ledger System.
Competent user of Microsoft Office products / Google products and an intermediate user of Excel
Proficiency in use of SAGE Financial system.
