Finance Assistant

Part time 15 hours per week

£11.00 per hour

Ventnor Medical Practice are looking for a Finance Assistant who will work directly for the Practice Business Manager.

The Finance Assistant will oversee the practice accounts and deliver accurate bookkeeping duties to safely monitor all income and expenditure. This is an ideal role for somebody seeking development and experience in practice finances and the healthcare sector.

Main duties of the job

To oversee practice accounting, claims, invoices, payroll and reconciliations.

To effectively communicate financial matters the Practice Business Manager.

To work closely with stakeholders, including the practice accountants in the preparation for end of year account reports and other accounting tasks throughout the year.

Compliance with petty cash, cash handling and banking duties.

To ensure all income and expenditure due to or made by the practice is recorded in the accounts package.

The following are the core responsibilities of the Finance Assistant. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

The Finance Assistant is responsible for:

a. General bookkeeping, including all financial ledgers and reconciling statements, identifying any inaccuracies, and reporting to the Practice Business Manager

b. Coordinating credit control

c. Complete financial audits when required

d. Act as a point of contact for financial related matters

e. Support and assist the Practice Business Manager with financial forecasting, analysis, and benchmarking

f. Managing expenditure and income streams reporting any anomalies for the Practice Business Manager

g. Complete mandatory training and to have read and understood mandatory practice policies

h. Assisting in providing the accountants with information or evidence they require to they require to complete year end

i. Raising invoices and ensuring they are paid within the given timeframe

j. Directly contribute to financial improvement by identifying financial trends, exploring areas for increasing income and reducing costs

k. Performing monthly payroll to include processing staff claims, starter and leavers details, statutory claims, or deductions

l. Complete and submit accurate monthly payroll data to the practices payroll contractors

m. Investigate and resolve any payroll queries raised by staff

n. Monitor and manage the shared Finance email box for the practice

o. To provide regular finance updates to the Practice Business Manager

p. Ensure compliance with petty cash, cash handling and banking duties ensuring that all staff are aware of the internal process with petty cash

q. Recording all income and expenditure on the practices accounts package

r. Liaising with the ICB and payment agencies regarding queries with payments relating the contacts, e.g. Enhanced Services

s. Assisting the Practice Business Manager with the yearly budget and monthly monitoring statement

t. Represent Ventnor Medical Practice at relevant meetings, communicating information as appropriate

Person Specification

Qualifications

Essential
  • Good standard of education with excellent literacy and numeracy skills

Desirable

  • Accounting and / or finance qualification/training

Experience

Essential

  • Experience of bookkeeping processes including invoicing, reconciliation, payroll, claims
  • Experience of monitoring and recording income and expenditure
  • Experience of budgeting
  • Experience of presenting reports to internal and external stakeholders
  • Experience of auditing
  • Experience of compliance with petty cash

Desirable

  • NHS / Primary Care General Practice experience
  • Experience of accounting software Xero
