We are seeking a detail-oriented and highly organised individual to join our finance team as a Finance Assistant. As a Finance Assistant, you will be responsible for performing payment runs, reconciling financial transactions with supply chain partners, and assisting with other typical finance-related tasks. Your role will be critical in ensuring accurate and timely financial processes, maintaining strong relationships with external partners, and supporting the overall financial operations of the company.
Responsibilities:
Payment Runs:
- Execute payment runs by processing invoices, expense reports, and vendor payments in accordance with established procedures and payment terms.
- Ensure accurate and timely processing of payments, verifying payment details, and resolving any discrepancies or issues that may arise.
- Maintain up-to-date records of payment transactions, ensuring proper documentation and adherence to internal controls.
Reconciliation:
- Conduct regular reconciliation of financial transactions with supply chain partners, ensuring accuracy and completeness.
- Collaborate with internal teams and external partners to address any discrepancies or inconsistencies, taking appropriate actions to resolve them.
- Monitor and investigate variances between financial records and partner statements, proactively identifying and resolving potential issues.
Financial Recordkeeping:
- Assist in maintaining accurate financial records, including but not limited to invoices, receipts, payment vouchers, and related documentation.
- Organise and maintain filing systems for easy retrieval and reference, ensuring compliance with record retention policies.
- Support the preparation of financial reports, statements, and analysis as required, providing accurate data and information.
Communication and Relationship Management:
- Liaise with supply chain partners to establish and maintain effective working relationships, addressing inquiries, and resolving any payment-related concerns.
- Collaborate with internal stakeholders, such as Product and Performance Management to ensure smooth payment processes and accurate financial reporting.
- Communicate proactively with relevant parties regarding payment status, anticipated delays, or any potential issues that may impact financial operations.
Process Improvement and Compliance:
- Identify opportunities for process improvements and automation in payment runs and reconciliation procedures, contributing to enhanced efficiency and accuracy.
- Adhere to internal controls, company policies, and regulatory guidelines in all financial activities, ensuring compliance with relevant laws and regulations.
Requirements:
- Bachelor's degree in finance, accounting, or a related field is preferred.
- Proven experience in finance-related roles, with a focus on payment processing and reconciliation.
- Familiarity with financial systems and software, such as Spendesk.
- Strong analytical skills and attention to detail, ensuring accuracy in financial records and reconciliations.
- Excellent organisational and time management abilities, capable of managing multiple priorities and meeting deadlines.
- Effective communication skills, both verbal and written, to collaborate with internal and external stakeholders.
- Ability to work independently and as part of a team, demonstrating a proactive and solution-oriented mindset.
- Knowledge of financial regulations and compliance requirements is a plus.
- Proficiency in using spreadsheet applications and financial software tools.
