Job Description for: Finance Assistant - Accounts Payable

Salary: £29,363 - £30,920 per annum incl. LWA

Grade: Support – Scale 6

Hours: Full Time – 36 hours per week

Responsible to: Head of Finance, Payroll & Pensions

MAIN DUTIES AND RESPONSIBILITIES OF THE POST

Main Purpose of the Job

To undertake a range of duties within the Finance team, focusing on accounts payable activities including processing payments to suppliers, students and other payees. Ensure the timely and accurate reconciliation of supplier and associated control accounts.

This role, along with other finance colleagues, contributes to the financial control environment in the college.

Accounts Payable

  • To ensure the timely, routine reconciliation of supplier accounts. Working closely with the purchasing finance assistant to ensure all outstanding invoices are correctly reported on the finance system
  • To ensure the creditors’ ledger is operated accurately, efficiently and to agreed timescales, and that all control reconciliations are performed in a timely manner, and that the operation is in accordance with the financial regulations
  • To process the weekly and monthly BACS payment runs and ensure adequate checks by ensuring the correct payments are made to the correct creditors and staff in line with contractual terms and statutory obligations
  • Ensure staff and student travel, subsistence claims, student refunds and student grants are processed correctly for payment to students in a timely manner
  • Process authorised season ticket loans for staff as required
  • Provide an excellent customer service to suppliers, staff, and acting as a key point of contact within the team to resolve any account queries
  • Assist budget holders with their queries on supplier expenditure and payments, including providing support and training in the use of the accounting system for raising PO and extract reports
  • Monitor activity across supplier accounts including the preferred supplier listing, promoting a Value for Money approach
  • Assist with maintaining the authorised signatory register
  • Preparation of month end control reconciliations and month end files
  • Be the key point of contact with the insurance brokers and manage the annual renewal process working closely with the Head of Finance and LSBU procurement team
  • Ensure College credit card expenses are processed and accounted for in a timely and accurate manner
  • To distribute monthly credit card statements to card holders and ensure that all returns are completed in the accordance with policy
  • Monitor the use of credit cards, reporting usage to the Head of Finance and ensuring any transactions that are not consistent with appropriate use in line with financial regulations are highlighted

Travel for Staff and Students

Organise all Lambeth’s business travel (arranged through a third-party travel management company) and taxi/courier services

Making bookings and processing payments for all educational visits in a timely manner

Personal Care

  • To assist learners with eating/drinking while encouraging them to be independent.
  • To attend to learners' personal hygiene as required.
  • To operate appropriate lifting equipment in response to learner needs.
  • To deal with minor illnesses and accidents sensitively and in line with College health and safety guidelines.
  • To assist with the administration of medication as prescribed by the learner's doctor.
  • To wash and change learners’ clothes where necessary.

Other

  • To support the annual financial statements process and supporting the Head of

Finance with engaging and providing information to internal and external audit staff

  • Assist with all finance audits preparing information and schedules as directed
  • Supporting the overall activities and day to day running of the department as required, contributing to the overall effective performance of the finance service
  • Supporting the maintenance of the asset and inventory registers, supporting the Head of Finance in ensuring effective monitoring of SBC’s assets
  • Ensure that all payment related journals are regularly processed and complete by month end, supporting the timely reconciliation of bank accounts
  • Assisting with uploading monthly finance journals into the finance system, including where required payroll and other finance related journals
  • Work closely with finance colleagues in the financial accounting team at LSBU
  • Undertake general administrative duties for the Finance team as required

  • To be responsible for the implementation of and compliance with the College’s Health and Safety policy.
  • To undertake any other reasonable duties and responsibilities as may be required.
