Finance Administrator

Salary: £23,000-25,000 dependent upon experience and skill levels.
Hours: 37.5
Holidays: 25 days (pro-rata) plus 8 statutory holidays per annum
Location: The post will be hybrid working from home and at IMARA in Nottingham City Centre.
Responsible to: Business Support Lead

There is scope to structure the hours of the role flexibly (within reason) and Imara is currently trialling working a 9 day fortnight.

Overview of the role

You will be responsible for the efficient running of IMARA’s general finances, including day to day office requirements.

The role is to carry out book-keeping and accountancy tasks such as:
  • Making journal entries for all receipts, payments, and other financial transactions, ensuring they are classed against the correct project budget.
  • Performing monthly bank reconciliations.
  • Preparing cash flow statements.
  • Meeting weekly with CEO to review finances and manage upcoming tasks and activities.
  • Carrying out credit control for organisation,
  • Carrying out purchase ledger procedures for the organisation,
  • Performing payroll duties such as updating CA Plus with staffing/salary changes
  • Liaising with line managers and staff members with regards to payroll and finance induction for new starters and P45 and untaken leave payments for leavers.
  • Contributing to the creation, review and update of policies and procedures, ensuring robust financial processes, and security of the organisation, considering risks and wider economic context (e.g. reserves & expenses policies).
  • Preparing year end accounts, including profit and loss, balance sheet, bank statements, agreements for major funding and donations, major purchases or building works, list of creditors and debtors, and loan/lease agreements.
  • Working with the board of trustees (in particular the Treasurer and within the bi-monthly Finance Working Group) to provide the board with financial updates and forecasts.
  • Working alongside other IMARA staff to seek funding opportunities, applying for grants and other sources of funding.

Other essential skills and qualities include:
  • Ability to communicate financial issues and information in a clear and concise way for different audiences (board of trustees, staff, external partners)
  • Proficient in using financial accounting systems/packages.
  • Experience creating and maintaining budgets.
  • Confident handling data to present to non-financial colleagues and inform decisions

Essential:
  • Financial qualification and financial accounting experience (minimum Level 3 AAT or equivalent work experience)
  • Experience working closely with others within a multi-disciplinary team, carrying out a range of financial duties

Desirable:
  • Previous experience of an accounting role in the not-for-profit/charity sector.
