Job description
Due to an influx of new business and growth in our portfolio, we are now looking for an Administration Assistant in our Finance/Credit Control department to join our friendly team at Sapphire. We predominately manage blocks of flats and estates in Colchester and surrounding areas, including Ipswich, Chelmsford, and other locations throughout Essex, together with a growing number of developments further out-of-area.
Main Responsibilities include:
- Responding to client’s queries by answering calls and dealing with emails
- Working closely with the Finance Team and providing administrative support
- Helping the team to keep close watch on debtor account balances and reducing debtors.
- Assist in referring and liaising with Property Debt Collection (PDC) regarding cases, including sending evidence and sending documents to PDC for court cases.
- Administrative tasks and reporting, such as updating statements and sending out debt letters.
- Using our Online Portal, Blocks Online for all reports and recording of cases.
- Corresponding with mortgage lenders to obtain payments.
- Be familiar and use the Land Registry website for searches.
- Updating spreadsheets with our debt fees
- To have/develop a good understanding of what Service Charge and Ground Rents are, and the role of the Managing Agent.
Required skills and experience:
- Educated to GCSE (or equivalent) level with passes in English language and a relevant mathematical/accounting subject.
- A minimum of 2 years’ experience of working in an accounting environment, ideally within the private sector leasehold industry
- Strong attention to detail and data entry accuracy
- Microsoft Excel at intermediate level, alongside Microsoft Word
- High attention to detail with the ability to see and challenge information.
- Strong communication skills, able to liaise with non-financial internal and external customers.
- Self-motivated and organised,
- Able to prioritise workload and use own initiative.
- A team player, demonstrates working towards a common goal
- Strong customer focus, understanding both internal and external stakeholders.
