Patient Services Coordinator
The Whiteley Clinic is an International renowned Varicose Vein Clinic. We are a high-achieving research-led clinic operating from a modern, purpose-built premises working with a multidisciplinary team of highly skilled specialists ranging from Aesthetic Practitioners, Sonographers and Consultant Surgeons.
We are looking for someone who has excellent administrative skills ideally with some medical knowledge, be able to multitask, excellent organisational skills and confident to support our Front of House when required. You should also enjoy providing outstanding customer service, as you may be the first point of contact for our patients.
- Salary: £23,000.00 per year

Previous experience is required.
Responsibilites and duties include but are not limited to:
- To work within the philosophy, objectives, policies and procedures of The Whiteley Clinic and Absolute Aesthetics.
- To book patients appointments and procedures within the clinic booking system providing an excellent patient service via telephone, email and face to face when required.
- To work closely with the Front of House coordinator providing sufficient information and support to ensure a smooth patient service can be maintained.
- To assist with Front of House duties when needed. Some but not all of these duties may include greeting patients, providing a high standard of professional interaction and service throughout their patient journey, and to ensure the smooth running of the day-to-day clinic and administration process.
- To initiate quotation letters as required.
- To input new patient details, update records and enter data onto the clinic system.
- To take deposits and payments and ensure payments are entered onto the relevant system.
- To ensure follow up appointments are made with patients, if not made with the Front of house post procedure.
- To facilitate the sending of appointment confirmation and reminders to patients through the patient system
- To assemble new files and ensure patient lists are printed ready for the following day and to ensure patients notes are retrieved from filing as required.
- To ensure that all relevant paperwork for each patient list is ready for the consultant/practitioner.
- To be able to undertake audiotyping and or checking of Doctor’s letters via Lexicom system as required.
- To attend training where necessary to meet mandatory and individual training needs.
- To participate in personal Annual performance review and objectives set by the Clinical Quality Nurse Manager.
Finance Accounts Assistant – Guildford
A fantastic opportunity has arisen for a finance accounts assistant to join The Whiteley Clinic, the world’s leading specialists in the diagnosis and treatment of venous disease and known for pioneering cutting-edge techniques to treat varicose veins, venous ulcers, and pelvic congestion syndrome.
- Salary: £26,000.00 per year

Main Duties and Responsibilities
- To work within the philosophy, objectives, policies and procedures of The Whiteley Clinic Limited and all Group companies.
- To ensure sales invoices for all clinics and ultrasound lists are processed and managed accurately.
- To ensure credit control is up to date for all companies.
- To raise all company sales invoices as required.
- To liaise with insurance companies as required, in order to respond to claim queries and resolve account settlement issues.
- To process all cash and cheques, in conjunction with the Finance Manager, or in her absence, with the Clinic Manager.
- To deal with patient account queries as necessary.
- To check and link purchase ledger invoices with delivery notes.
- To input all purchase ledger invoices into accounting software.
- To file all purchase ledger invoices accurately.
- To check supplier statements and resolve purchase ledger queries as required.
- To check all company credit card statements and input into accounting software.
- To check all staff expenses and input into accounting software.
- To send out all remittance advices and collate all purchase invoices for the weekly payment run.
- To input general ledger journals as required.
- To assist the Finance Manager with ad hoc finance tasks as required.
- To work with new financial systems that are integrated into the company as required.
- Bank reconciliations.
- Petty cash reconciliation.
- To maintain and support harmonious working relationship within the clinic.
- To establish and promote sound lines of communication between all staff, patients and visitors
- To attend training where necessary including health & safety.
- To participate in a personal Annual Performance Review and objective setting with the Clinic Manager and Finance Manager.
Key Skills
The right candidate for this role will need to have good excel skills and attention to detail. You will need to be organised and work independently according to reporting deadlines and timetables. Confidence is essential in dealing with insurance companies in relation to claim queries and debt management. As a small company with a “family feel”, good communication and teamwork is also a must.
Qualifications
Previous experience in an accounts role is essential, training in company specific software will be provided. Would suit AAT qualified or student. Study support considered for the right applicant.

Sonographer – Part Time London based
A fantastic opportunity has arisen for a sonographer to join The Whiteley Clinic, the world’s leading specialists in the diagnosis and treatment of venous disease and known for pioneering cutting-edge techniques to treat varicose veins, venous ulcers, and pelvic congestion syndrome.
We are looking for an experienced and qualified sonographer to join our friendly team of expert sonographers and vascular technologists at our private practice. We are looking for sonographers with at least one year’s post-qualification experience in gynaecology and abdominal scanning, with vascular/venous experience desirable but not essential as we will train you in all our techniques.
This opportunity will provide you with the chance to increase your scanning repertoire and learn highly specialist techniques including transvaginal scanning for the diagnosis and assessment of pelvic congestion syndrome, in addition to working closely with and providing intra-operative ultrasound support during endovenous ablation for our team of expert surgeons.
We will provide full training and support and you will be encouraged to take part in our award-winning research and have the opportunity to take part in domestic and international conferences. You will be able to build rapport with our patients and see them through their treatment journey, from start to finish.
Our headquarters are in Guildford, with clinics in London and Bristol too. We are looking for sonographers who would be willing to do part-time day work at our London Clinic as required.
