Facilities Officer (Estate Agency)
Salary: £28,500
Offices to Cover: South West Central and Central London
Hours: 40 hours per week, shifts between 8am and 6pm
Location: Covent Garden
2 days at home, 3 days in the office, one of these days out doing office visits.
Facilities Officer
We are looking for an experienced Facilities officer who will be responsible for assisting in the front-line management of the day-to-day delivery of FM services to our branches across London.
This includes the effective delivery and monitoring of planned preventative maintenance programs, contract management for outsourced provisions and responding to the ‘reactive’ needs of the customers.
The successful candidate will focus on delivering outstanding management to Chesterton’s staff and premises. You will look at ways to constantly developing initiatives to ensure that our day-to-day management is as effective as possible. Key services and strategies include assisting in project management of office moves and refurbishments.
Duties and Responsibilities but not limited to:
- Conduct monthly site inspections to assess office needs, report and act on any maintenance issues, hazard, defective materials and equipment
- Assist with special projects related to office refurbishments or team expansions
- Oversee and manage office reactive, proactive and maintained works, organising access and arranging keys.
- Liaise with Contractors in relation sourcing quotes and instructing where appropriate
- Develop and maintain constructive relationships with branch managers and coordinator
- Ensure transparency reporting on the status of the local infrastructure and works outstanding
- Weekly and monthly reporting with line manager
- Authorise credit card purchases up to £250
- Authorise jobs outside break fix contract up to £ 300
- Providing holiday cover for other facilities Officer, monitoring emails, online systems, and dealing with matters that arise
- Overseeing the delivery of cleaning functions across region, providing support to branches and contractors with any issues
Health & Safety
- Assist Head of Facilities by monitoring Health & Safety compliance, this will include tasks such basic PAT/ electrical circuit testing, emergency light testing
- Complete duties with an awareness of health and safety issues and undertake all relevant risk assessments and act on findings
- Ensuring offices have all necessary H&S documents on display
- Follow up on annual remedial work reports from H&S audits and FRA
- Conduct and record monthly site emergency light testing
- Ensure offices are conducting and recording weekly alarm testing
Administration
- Monthly board report contribution
- Complete stock control functions of site storage rooms
- Processing of invoices by using the internal purchase order processing system and when necessary addressing queries and dealing with disputes.
- Ensuring work orders and personal work flow are kept up to date
- Bi-monthly processing of department Credit Card expenses
- Ensuring office alarm contacts are are kept up to date
